Portal Payslip Release Date

Description

An option has been added to Pay Group Maintenance to allow the availability of payslips via the Candidate Portal to be delayed until the payment date of the corresponding pay batch or until payslips have been manually released to the Candidate Portal.

Benefits

This enhancement provides more control over when payslips are available for downloading by payees from the Candidate Portal. For example, if you process pay batches in advance of the payment date you can prevent payslips from being available for downloading from the Candidate Portal until the payment date.

Configuration

A new field labelled Portal Payslip Release Date has been added to the Payroll > Maintenance > Pay Group > Pay Group Entry screen as shown below.

On upgrade from v11.39 the Portal Payslip Release Date field will default to the On Pay Batch Close option. That will provide backwards compatibility with v11.39 functionality, whereby payslips are available immediately in the Candidate Portal as soon as the corresponding pay batch is closed.

After upgrading, the option that is selected in the Portal Payslip Release Date field can be changed on a per pay group basis if necessary to either of the following two options:

On Payment Date - makes payslips available for downloading from the Candidate Portal only once the payment date of the corresponding pay batch has been reached.

Manual - makes payslips available from downloading from the Candidate Portal only once the payslips have been manually released to the Candidate Portal from the Payroll > Pay Process > Payslip Delivery screen (for more information, see Manually Releasing Payslips to the Candidate Portal).

For Payroll Australia and New Zealand the On Pay Batch Close option will not automatically flag payslips as Delivered if the payslip delivery method, as defined on a Payee record, is Print or Email. That maintains backwards compatibility with payslip delivery functionality in v11.39.

However, if the On Payment Date or Manual options are selected payslips will be automatically flagged as Delivered as soon as the payslips are made available in the Candidate Portal irrespective of a payee’s payslip delivery method.
