Payslip Delivery via Secure Link in Email Message
Description
When delivering payslips to payees via email it is now possible to include a secure link in the email message, which allows the payee to securely download their payslip by clicking on the link, instead of attaching a copy of the payslip to the email message.
An example of the secure link to the payslip in an email is highlighted in the example below.
On clicking the link within the email message a login screen opens to prompt the payee for their Candidate Portal password. When the user keys in a valid password, their payslip is displayed and the payee can choose to download/save or print it.
Benefits
This enhancement allows payees to be notified by email when their payslips are available while providing a secure means by which to download the payslips without having to navigate to the Candidate Portal.
Configuration
The ability to email a secure link to download payslips is enabled on a per-country basis via the Pay Document Delivery Type field under Maintenance > Hierarchy > Country > Middle/Back Office Country Settings > Pay Setting. To enable the emailing of a secure link, the option in the Document Delivery Type field must be set to URL Link, as highlighted in the example below.
The Pay Document Delivery Type field defaults to the PDF Attachment option, which supports the pre-existing functionality whereby a PDF copy of a payslip is attached to the email message that is sent to the payee when their payslip is available.
In addition to setting the URL Link option for the relevant country or countries, the relevant pay email templates must be created or edited to include the <<LinkToDownloadDocument>> merge tag, which will insert the secure link to the relevant payslip into the email message that is sent to a payee when their payslip is delivered. The payslip delivery method on a Payee record must be set to Email if a payee is to receive an email notification when a payslip becomes available.
