Your FastTrack360 System Is Getting An Upgrade!

 Get a quick overview from FastTrack Chief Technology Officer, Jason Quirk, and Release Manager, Dane Johnson, about the latest updates to FastTrack360 and the upgrade plan (~3 mins).

Here’s what you need to know to make the most of the improvements.

AUSTRALIAN PAYROLL COMPLIANCE REQUIREMENTS

This release includes three key changes to ensure businesses who pay candidates in Australia remains compliant with the Australian Taxation Office (ATO).

  • Due to changes legislated as part of the Budget Savings (Omnibus) Bill 2016, as of July 1, 2019 Student Financial Supplements Scheme (SFSS) loans will be subject to the same earnings threshold and withholding rates as other study and training support loans, such as Higher Education Loan Program (HELP) and Student Start Up Loan (SSL). If a payee has multiple types of study and training support loans, they will now repay the loans one at a time in full. Therefore, if a payee has a SFSS debt as well as a debt for any other training and support loans, there will only be one loan repayment amount withheld from their earnings each time they are taxed. This change has been included with this release.

  • As part of the requirements for Single Touch Payroll (STP) with the ATO, staff who have access to critical payroll information will be required to login to FastTrack360 using Multi-Factor Authentication (MFA). There is more information about this change in the security updates below.

  • To support the release of STP, the new STP End of Financial Year process is included with this release.

 PERFORMANCE ENHANCEMENTS

It is now even easier and quicker to use FastTrack360. As part of ongoing performance improvements, our team are continuously working on ways to deliver incremental improvements to the performance and usability of FastTrack360. With this upgrade, we have completely re-engineered the saving process for all entities including Parent, Client, Cost Centre, Contacts, Candidates and Job Orders. This means:

  • It can now take half as much time to extend or shorten a Job Order end date, so you can better meet the needs of your clients’ faster. See the quick overview video below.

  • Plus, it now takes less time to save a change to a Candidate record, so you can keep your database updated faster.

  • And, we’ve improved timesheet management, including reducing the loading speed when you are within the timesheet tab and when you are navigating between pages of timesheet search results. Plus, it’s now even faster to narrow your timesheet search by adding additional criteria so you can find the data you want faster.

USER EXPERIENCE IMPROVEMENTS

Finding the right candidates for a job fast is critical to efficiently running a staffing business. Here are two key changes to improve this process.

  • When you run a candidate search, contact search or document list you can see more information due to the optimized sizing of columns, plus you can also select either parts of a list or the whole list to send a bulk SMS, send a bulk email or export – making it easier to engage with the right people faster helping improve candidate engagement and job fill.   • Plus, the reply SMS messages are now captured in communication history so you can see both the original and responses in one spot against each Candidate or Contact.

  • MarketPlace integration improvement where you can trigger actions natively in FastTrack360 for an external solution. MarketPlace partners Secured Signing and Onboarded have used this integration to make it easier to onboard candidates using online forms.

SECURITY ENHANCEMENTS

Our highest priority is the security of your data. We are making further enhancements to the way you access your data to ensure improved security of your system.

The key changes are:

  • Introduction of Multi-Factor Authentication. This is an enhanced authentication process to ensure a user logging is who they claim to be, by assessing two or more pieces of evidences (factors), for example a mobile phone.

  • Introduction of CAPTCHA. Powered by Google’s ReCAPTCHA, this is an automated test to ensure a user is a human and not a robot by asking a series of questions to mitigate automated attacks when logging in.

  • Introduction of an anti-forgery token. This will remove the previously entered username if the user logs-in incorrectly.

MAINTENANCE ITEMS

We have changed the way we manage maintenance releases at FastTrack360. We have introduced a dedicated Business As Usual (BAU) team, headed up by David Moffat, with the sole task to keep things running smoothly day-to-day. This release includes a range of maintenance items.

Critical information you need to know about this upgrade:

  1. For customers with payroll, please ensure that no pay batches are being processed in the Portal > Pay module. All pay batches must be closed before the upgrade.

  2. If a Recruitment Manager user does not have the Assign Pay Agreement, Assign Bill Agreement or Standard Rates permission assigned to their security role, they will no longer be able to see the Rates section on the Job Order screen, on the Job Template screen and on the select Job Template screen. They will also be unable to copy rates when copying a job order.

  3. Time & Attendance - We have split out the default week ending date configuration by user type. On upgrade your settings will be replicated for both Agency User and Client/Candidate User settings. For Agencies that require this to be different for Agency Users and Client/Candidate users, this will need to be changed.

  4. Pay Module – You are now able to determine the Pay Code Group that Gross Deduction calculations are based on, in the Deduction Header.  On upgrade this new setting will default to nil on existing Deduction Header configuration items, so the calculation will continue to be based on all Pay Codes that are considered earnings.

  5. Functionality has been added to cater for legislative changes around withholding study and training support loans, which take effect on 1 July 2019.

  6. Enhancements have been made to employment termination payments that are made at the Termination pay batch stage in the Payroll Australia module.

  7. Changes have been made around payments and reporting of payments made to Working Holiday Makers in the Payroll Australia module.

  8. Notification Template Maintenance in the Payroll Australia module has been enhanced to facilitate configuration of STP final pay notifications.

 What you need to consider prior to upgrade: 

  1. This release introduces Multi-Factor Authentication or MFA. The default MFA option will be Time-based One Time Password or TOTP.  This requires your staff to download a browser plug-in or mobile application to access FastTrack360.

  2. Please notify all users about the security enhancements including MFA and CAPTCHA, and what they need to complete in order to login to FastTrack360 after the upgrade.

    1. CAPTCHA has been mandated for all users.

    2. MFA has been mandated for users with access to elements of Payroll, Interpreter Review and Candidate Records for Country Australia due to ATO’s Single Touch Payroll requirements.

  3. If using SMS for MFA, ensure your SMS account includes all relevant offices users belong to, so messages with MFA can be dispatched to the relevant users. Relevant users will also need to have their mobile phone number added to their profile.
