Timesheet Workflow Action

Timesheet Workflow settings are applied to the timesheet process where the business utilises the system's on-line timesheet functions. The primary function of a Timesheet Workflow is to:

  1. Define the participants involved in the timesheet workflow process, including the timesheet Initiator, timesheet approver and the escalators.

  2. Define the notifications applied to timesheet initiator, approvers and escalators during the on-line timesheet process.

A default workflow, configured in the maintenance module, applies to all Temporary and Contract Jobs. From the Job Order, the settings within the default workflow can be edited via the Timesheet Workflow action.

The following main tabs are displayed within the Timesheet Workflow:

New Timesheet Tab

Within this item, the workflow steps include:

Step 1. Initiator

  • Initiator - define the keyer / submitter of the Timesheet.

  • Instant Notifications - select the notifications that will apply where a timesheet has been rejected and approved.

  • Schedule Notifications - select the notification that will apply where the initiator requires a reminder.

Step 2. Approval Levels

  • Create up to 4 levels of approval required for a timesheet. For example where two people need to approve the timesheet.

  • Notifications are selected to run where a timesheet has been submitted or recalled and a reminder notification can also be applied.

Step 3. Escalation

  • An Escalation Contact and Notification is selected where timesheet approvals do not occur within an appropriate time frame.

Adjustment Timesheet Tab

Adjustment timesheets are driven based on the agency (internal user applied as an initiator) triggering a change. The Client can be involved in the approval process, however this is optional. Within this item the workflow steps include:

  • Instant Notifications - select the notifications that are run where an adjustment has been rejected and approved.
