Viewing & Sending Timesheet Notifications

This section explains timesheet notifications, which can be used to communicate information related to timesheets for which you are a workflow participant or that you monitor. This section explains how you can view your internal Time and Attendance notifications and how you can send notifications to other Time and Attendance users to communicate information about specific timesheets.

The Time and Attendance module can be configured to send automatic notifications to users who are participants in a timesheet workflow.  For example, if the timesheet workflow that applies to a job order identifies you as one of the timesheet approvers for the job order, you may receive an automatic notification each time a timesheet belonging to that job order is submitted for your approval.

Automatic notifications can be delivered to you via one or more of the following delivery methods: 

  • via an email message to your email address

  • via a SMS message to your mobile telephone

  • via an internal notification message within Time and Attendance.

The table below explains the different types of automatic notifications that you may receive depending on the role you play within a timesheet workflow.

Notification Type

Description

Reminder

Notifies you that a timesheet, for which you are the initiator, is due to be submitted for approval.

Alternatively, notifies you that a timesheet, for which you are an approver, has been submitted for your approval but you are yet to action the timesheet.

Escalation

Notifies that a timesheet has not been actioned by an initiator or approver within a specified amount of time and has therefore been escalated for your attention.

Approved

Notifies that a timesheet you have submitted for approval has been approved by an approver.

Rejected

Notifies that a timesheet you have submitted for approval has been rejected by an approver.

Recalled

Notifies that a timesheet, which had been submitted for approval, has been recalled by the timesheet initiator.

Submitted

Notifies that a timesheet has been submitted for approval.

If you are a timesheet approver and you receive notifications via email and/or SMS, you may receive grouped notifications instead of individual notifications. For example, if you act as the timesheet approver for a large number of payees it may not be practical for you to receive a notification each time a payee submits a timesheet for your approval. Instead, you might receive one email or SMS message per predefined period, whereby the message groups together the details of all timesheets that have been submitted for your approval since the end of the last period.

In addition to the abovementioned automatic notification types, you can send general notifications to the timesheet workflow participants of a timesheet. General notifications are sent as an an internal notification message within Time and Attendance and can be used to communicate information in relation to a timesheet. For example, if you are a timesheet approver and a timesheet initiator has submitted a timesheet for your approval you can send the timesheet initiator a general notification if you need to query the initiator about any of the information that has been keyed in against the timesheet. You can also reply to any general notifications that are sent to you by other
timesheet workflow participants.

General notifications cannot be sent for bulk timesheets because such timesheets do not have a separate initiator and approver.

If your system has been configured to send automatic notifications via an internal message, such notifications will appear and can be viewed in the Notifications item on the top menu bar within FastTrack360 (shown below).
