Description

To assist you with managing your data storage, in the 11.38 release, the following changes have been made.

Data Storage Online Help

From the top ? menu you can access 'About FastTrack360' which contains a tab that shows Data Usage. To provide you with more information on data storage, where this can be influenced in configuration and some tips on how to reduce file sizes, we have created a new page in online help called: FastTrack360 Data Storage.

New FT Standard Report on Document Data Storage

A new FT Standard Report has been developed to provide you with some information on your current data storage usage. The report is not intended to give you a complete understanding of your overall Data Storage, as it is focused on the estimated size of the documents stored within your system and the areas of your system with the highest usage. This supports with auditing what has been attached including file size and type. This report also assists in managing system usage, to ensure policies are followed around file management and storage. New warning on Candidate / Client Contact Email 1 / 2

Where you utilise the FastTrack360 Outlook Extensions plugin, and Comms Integration 'Enable sync' has been configured, emails are automatically synced to the records that match to the addresses in the email. In some cases users have been adding their own email, or an agency domain email address in Contact and or Candidate records, the result of this is that all emails in outlook with the users email address, or the domain email address, are synced to all the records that have these email addresses assigned, which causes duplication and has an impact on data storage volumes and therefore costs. To combat this issue and warn the user, we have implemented a new soft warning which displays on save where a Client Contact or Candidate Email 1 or 2 value has been entered or edited, and the address matches to a user's email or incorporates an agency domain. The warning displays "Email 1 or 2 contains an Agency User or agency domain email address. Where Outlook Extensions is syncing comms, all emails with this address included, will be synced to this record."

Configuration

No additional configuration is required to support this change, however some settings can be changed to influence elements like the accepted file size for attachments. See FastTrack360 Data Storage for further information.
