Outlook Extensions Settings

Settings are configured in Outlook Extensions to manage functionality. Prior to using this tool, some items in settings must be applied, see the table below for a description of the settings available:

FastTrack URL

The pathway linking Microsoft Outlook to FastTrack360. This item must be configured prior to utilising Outlook Extensions.

To apply the URL, open Recruitment Manager without logging in. Copy the Recruitment Manager URL and paste into the Outlook Extension Setting 'URL' field.



FastTrack Username and Password

Your FastTrack Username and Password must be entered prior to utilisiing Outlook Extensions.

If your FastTrack username and password are changed, this item in must also be updated.

Task and Error Logging

Allow Sync

If selected, 'Activities' created or updated in Recruitment Manager are updated (synchronised) to your Outlook Tasks / Appointments. Where 'Allow Sync' is selected, the system will incrementally check to see if there are any updated or new Tasks / Appointments in Recruitment Manager to apply to Outlook. The default increment is 15 minutes, you can increase or decrease this timing if required.

The activity is created in Outlook as a task or appointment depending on the 'Task Code' applied. See the section Activities for more details.



Error Logging

Due to the variety of PCs and environments the Outlook Extensions tool is applied to, this item is available to assist Fastrack to diagnose issues should they occur.

By default this item is not activated, however you may be requested to tick this setting by a FastTrack Client Services Team Member should it be required.

Comms Integration

Enable Sync

Select to 'auto sync' your emails from Outlook to FastTrack360. Where ticked you must also select the Outlook Folders in Select Folder. Select Inbox to automatically scan any new emails, select your Sent Items folder to automatically scan any emails you send.

The system currently matches your Outlook mail account email address and your FastTrack360 user email address. Where the email address in your FastTrack360 user account is different to the email address in your Outlook mail account, this will impact on the ability to bring emails into the FastTrack Communications Centre.

Please be aware that all emails in the selected folder(s) will sync where the email address matches to a record in FastTrack360. So should emails be of a personal nature, these will be included, and they cannot be removed once synced. If this situation may occur, we do not recommend using this setting, instead please manually select and sync emails you wish to bring into FastTrack360.

 

Last Sync

This item displays the date and time a sync was last completed.


To update Outlook Extensions settings:

Open Microsoft Outlook, navigate to the Outlook Extensions Toolbar labelled 'Add Ins'.

The Outlook Extensions Toolbar items are displayed.

Select Settings.

The Settings screen is displayed.

Make the changes required and select Submit.

The changes are saved.
