Pay Rate Description Field for Payslips
Description
A new field labelled Rate Description is now available for inclusion in the Payslip Items/Allowances layout component on payslip formats, which are created and maintained in Maintenance > Document Formats.
The Rate Description field displays the description of the pay rate of pay items that are listed in the Payslip Items/Allowances layout component of a payslip. The description that is displayed is taken from the rate description that has been configured against the pay code inthe corresponding pay rate rule (for agreement rates only) or that has been keyed against the corresponding pay item in the rates matrix on the corresponding job order. For more information about how rate descriptions can be defined for pay items, see Job - Rate Description and Pay Rate Description on Pay Rate Rules.
An example of a payslip that has been generated using a payslip format that includes the Rate Description field is shown below.
A rate description cannot be defined for non-timesheet based pay items including manual pay items, which have been added in a pay batch or the Interpreter Results > Interpreter Review module, leave payment items and termination payment items. Therefore, the Rate Description field will always display blank for such pay items.
Benefits
This enhancement provides compliance with FairWork Australia requirements whereby, if a payee is paid a loaded rate that combines a base rate of pay and additional loadings or penalty rates on top of the base rate, the payee's payslip must allow the payee to identify what the base pay rate was.
Configuration
The Rate Description field is not included in payslip formats by default. To add the Rate Description field to a new or existing payslip format, open the relevant format in the Document Formats module, select the Payslip Items/Allowances layout component and use the Components Settings > Rows/Columns > Edit Columns > Item > Database Field option to add the field to the layout.
