Support for Custom Interpreted Timesheet Statuses (WIP & v12.15)

Description

The Interpreter Service and the Interpreter Review module now support the concept of custom statuses for interpreted timesheets. Custom timesheet statuses can be configured and can each be linked to one of the following timesheet status types:

  • Not Reviewed - indicates that an interpreted timesheet is not released from the Interpreter for payment and billing.

  • Reviewed - Pay Only - indicates that an interpreted timesheet is released from the Interpreter for payment but not for billing.

  • Reviewed - Bill Only - indicates that an interpreted timesheet is released from the Interpreter for billing but not for payment.

  • Reviewed - Pay and Bill - indicates that an interpreted timesheet is released for payment and for billing.

Once custom timesheet statuses have been configured they can be assigned to Client records in the Recruitment Manager module to determine the status type that is to apply to a client’s timesheets when they are processed by the Interpreter Service and therefore whether manual intervention is required to review and release the client’s timesheets for payment and billing respectively.

For example, if a client’s timesheet status has a status type of Reviewed - Pay Only the client’s interpreted timesheets will be available for payment in a pay batch as soon as they are interpreted without the need for manual intervention to review and release the timesheets. However, the timesheets will not be released automatically for billing and manual intervention will be required in Interpreter Review to review and release the timesheets before they can be included in an invoice batch.

It is not mandatory to assign an interpreted timesheet status to clients. If a client does not have an interpreted timesheet status then a default status, which is defined at the country level, is used to determine the status type that applies to the client’s timesheets when they are interpreted.

Adjustment timesheets are always set to a status type of Not Reviewed when successfully processed by the Interpreter. That prevents an adjustment timesheet from skipping ahead of the original timesheet in the interpreted timesheet workflow, which could otherwise result in the adjustment timesheet being paid and/or billed before the original timesheet.

Benefits

This enhancement allows the process of releasing timesheets to the Payroll and Billing modules, for payment and invoicing respectively, to be customised to suit the requirements of your business and your clients.

For example, an interpreted timesheet can be subject to any of the following workflows depending on the client who is linked to the timesheet:

  • automatically released for payment and billing without any manual intervention from agency staff

  • automatically released for payment while requiring manual review/release by agency staff before being billed

  • automatically released for billing while requiring manual review/release by agency staff before being paid

  • not released automatically for payment or billing, thereby requiring manual review/release by agency staff before being paid or billed.

Configuration

On upgrade the following occurs automatically:

  • A timesheet status called Not Reviewed is created for each interpreted timesheet country and its status type is set to Not Reviewed. This status is applied to all existing interpreted timesheets that, prior to the upgrade, had a status of Not Reviewed. By default, this status is also applied to all adjustment timesheets that are processed by the Interpreter.

  • A timesheet status called Reviewed - Pay and Bill is created for each interpreted timesheet country and its status type is set to Reviewed - Pay and Bill. This status is applied to all existing interpreted timesheets that, prior to the upgrade, had a status of Reviewed.

After upgrading, you can edit the names of these default timesheet statuses, create new custom timesheet statuses and change which statuses are the default statuses for original and adjustment timesheets via a new maintenance area that has been added under Interpreter > Maintenance > Timesheet Statuses. Access to this new maintenance area is controlled by a new security role permission, which is configured under Maintenance > Role-Data Groups. The permission is described in the table below.
