Defaulting of Week Ending Date From for Available Timesheets List
Description
Existing functionality allows the Week Ending Date To field in the search header of the Time and Attendance > Timesheets > Available screen to be automatically set to a date that is a specific number of weeks in advance of the week ending day of the current week. That limits the timesheets that are loaded in the Available timesheets list by default based on a latest timesheet week ending date.
In this release, functionality has been added to also automatically populate a date in the Week Ending Date From field in the search header, as highlighted in the Figure 1 below, so that by default the system will only load and list available timesheets where the timesheet week ending date falls within the default week ending date from/to date range when you initially navigate to the list of available timesheets.
This enhancement applies to agency users only and, by default, the date that is automatically populated in the Week Ending Date From field is one week prior to the week ending date of the current week. However, that can be changed if necessary (for more information, see Configuration below).
Benefits
This enhancement reduces system performance overheads by reducing the week ending date range that the system needs to reference when searching for and loading the list of Available timesheets. That provides an improved user experience because it reduces the amount of time it takes for the list of available timesheets to load.
As a matter of good practice, it is recommended that you expire available timesheets that are not required so as to reduce the volume of timesheets that the system need to traverse when searching for timesheets. For more information, see Expiring and Restoring Timesheets.
Configuration
The date that is automatically populated in the Week Ending Date From field in the search header of the Time and Attendance > Timesheets > Available screen is based on a new field labelled Default Week Ending From, Week in Arrears that has been added to the Agency User section of the Time and Attendance > Maintenance > General > Timesheet Search Options screen, as highlighted in Figure 2 below.
The new field works in conjunction with existing Default Week Ending From, Week Ending Day field. For example, if the Default Week Ending From, Week in Arrears field is set to a value of 2, the Default Week Ending From, Week Ending Day field is set to Sunday and the current date is 03/09/2024, the system will count back two weeks from Sunday 08/09/2024, which is the week ending date of the current week, to date 25/08/2024 and that is the date that will be defaulted into the Week Ending Date From field in the search header on the Time and Attendance > Timesheets > Available screen.

The Default Week Ending From, Week in Arrears field is also now used to determine the earliest timesheet week ending date of Available timesheets for which the Notification Service will send automatic timesheet notifications. For more information, see Timesheet Notification Enhancement.
