How to Configure a Pay Company for Payday Filing
Before you attempt to configure a pay company for Payday filing, ensure that you have the following information because it will be required to complete the configuration:
the date from which the pay company will commence Payday filing
the myIR user ID and password that the pay company uses to log into the pay company myIR account
the email address and mobile telephone number to which notifications are to be sent if Payday filing submissions fail due to reporting authentication issues.
Prior to commencing Payday Filing, FastTrack must register the return Universal Resource Identifier (URI) of your FastTrack360 environment via the IRD Developer portal. If you are unsure whether your URI has been registered, please contact FastTrack client support.
Enabling Reporting
To configure a pay company for Payday filing, you will need to firstly find the relevant Pay Company record and enable Payday filing for the pay company. To do this, follow the procedure below:
1. | Navigate to Payroll New Zealand > Maintenance > Pay Company and search for and open the relevant pay company record. The pay company record opens in the Pay Company Entry screen. |

2. | In the Payday Reporting field grouping in the header at the top of the screen, click Payday Enabled. A tick is displayed to indicate that Payday reporting is enabled and the Date From field is also enabled. |

3. | Next to the Date From field, click the calendar button and use the calendar control to select the earliest pay batch payment date from which payments are to be reported via Payday filing. | |
4. | If you provide outsourced payroll services to clients and the Pay Company record represents your client's pay company and not a pay company that belongs to your business, key in the IRD number of the pay company, which belongs to your business, and provides the payroll services to the pay company that this Pay Company record represents in the Intermediary IRD Number field. |

Once you have ticked the Payday Enabled option, a Payday Reporting tab is available on the Pay Company Entry screen. The Payday Reporting tab allows you to authorise FastTrack360 as the software service provider that will submit Payday information on behalf of the pay company and to specify the email and mobile telephone number to which reporting authorisation failure notification failures must be sent.
The ability to authorise FastTrack360 as the software service provider that will submit Payday information to the IRD is controlled via a user security permission. For more information, see Payday Filing Security Permissions.
Authorisation/Authentication
To authorise FastTrack360 as the software service provider that will be submitting information to the IRD on behalf of the pay company, follow the procedure below.
1. | On the Pay Company Entry screen, click the Payday Reporting tab. The Payday Reporting tab is activated. The Authentication Status field in the IRD Authentication Details field grouping displays Not Initiated to indicate that the reporting authentication process has not been performed. |

2. | In the IRD Authentication Details field grouping, click the refresh button. The Authentication Status field updates to display a status of Pending. A new web browser window tab is activated and displays the myIR login page. | |
3. | In the myIR user ID and myIR password fields on the myIR login page, key in the pay company's myIR user ID and password respectively. |

4. | Click Login. The login credentials are verified and a Consent Management screen is displayed, prompting you to authorise FastTrack360 to access information that will be communicated to the IRD. |

5. | Read the consent statement on the screen and the conditions of use. If you agree to authorise FastTrack360 to communicate Payday filling information to the IRD, click Authorise. If you choose not to authorise FastTrack360 you will be unable to submit information to the IRD via Payday filing. Focus is given back to FastTrack360 and the Authentication Status field in the IRD Authentication Details field changes to a status of OK if the authorisation process was successful. |

6. | In the Email Address field in the IRD Authentication Error Notifications field grouping, key in the email address to which a notification is to be sent if Payday filing submissions fail due to reporting authentication errors to alert a user. |

7. | In the Mobile No. field in the IRD Authentication Error Notifications field grouping, key in the mobile telephone number to which a notification is to be sent if Payday filing submissions fail due to reporting authentication errors. |

8. | Click Save. The changes you have made to the pay company are saved. |
After completing step 4 of the procedure above, you may be prompted to configure two-step verification to protect your myIR login profile. If that applies, and you want to setup configure two-step verification, follow the prompts as shown on the myIR screen. Alternatively, if you do not want to configure two-step verification click Don’t use two-step verification. Note if two-step verification is configured you will need to scan a QR code or key in a code that is sent to your mobile device after you complete step 4.
If after completing step 5 the authentication status for the pay company is set to Failed, that indicates that there was a problem with the authentication process. If that occurs, repeat step 2. If the authentication status still does not change to OK, check the IRD website for any notifications of online service outages. If there is an IRD online service outage, wait until service are available again and follow steps 2 - 5 again. If the authentication fails again, contact FastTrack Client Services for support.
