Payday Filing Pay Company Configuration

Before a pay company can begin reporting through Payday filing, there are several configuration steps that must be performed to allow Payday filing to work. These are:

  • specifying the intermediary IRD number on the Pay Company record (required only if the pay company provides outsourced payroll services)

  • specifying the Payday filing start date

  • authorising FastTrack360 to submit information to the IRD on the pay company's behalf

  • specifying an email address and mobile telephone number to which notifications are to be sent if Payday filing submissions are rejected by the IRD due to reporting authorisation issues.

Intermediary IRD Number

If you provide outsourced payroll services to your clients and you will be reporting through Payday filing on their behalf, you will need to add the ABN of your business to each Pay company record in FastTrack360 that represents a pay company that belongs to one of your clients.

This is done by keying the relevant IRD number in the Intermediary ABN field in the header of the Payroll New Zealand > Maintenance > Pay Company Entry screen, as highlighted in the example below.

If your business acts as the payroll intermediary for a pay company, the IRD Number field in the Pay Company header must be set to the IRD number of your client’s pay company and not that of your pay company that provides the intermediary payroll service to your client.

Payday Filing Start Date

To enable Payday filing for a pay company, you must specify the date from which Payday filing is to commence for the pay company. Any pay batch with a payment date that falls on or after the specified date will contribute payment information that will be reported in a Payday return that must be reported through Payday filing.  

You will be unable to change the Payday filing start date once pay batches have been processed with a payment date that falls on or after the date you specify.

Reporting Authorisation

So that FastTrack360 can communicate with the IRD gateway the pay company must grant permission for FastTrack360 to establish and maintain a login to the pay company's myIR account. To grant the permission, an authentication process must be performed whereby you must log into the myIR portal with the pay company's myIR account login credentials and you must authorise FastTrack360 as the software provider that will be communicating information to the IRD on the pay company's behalf.

This process is triggered directly from FastTrack360.

Email Address & Mobile Number for Authentication Failure Notifications

An email address and mobile telephone number must be configured on the Pay Company record so that FastTrack360 can notify, via email and SMS, an appropriate user if Payday filing submissions are failing to be accepted by the IRD due to reporting authentication failures.

Such failures could occur if any of the following applies:

  • there is a problem with the pay company data, such as the IRD number of the pay company not matching the company details that the IRD has on their records

  • reporting authorisation has not been granted for FastTrack360 by the pay company or has been revoked

  • the myIR username or password for the pay company has changed.

If any of the abovementioned conditions apply, all employee information and Payday return submissions that are submitted to the IRD by the pay company will fail and will be set to a submission status of Rejected in FastTrack360 and an email and SMS notification will be sent to the nominated email address and mobile telephone number so that an appropriate staff member can be notified and the problem can be fixed as soon as possible.
