Working with the Document Format Screen

When you create a new document format or open an existing document format, the format is displayed in the Document Format Entry screen. There are three main components to the Document Formats screen as follows:

  • the Components

  • Document Layout

  • Property Panel

The Components List and Property Grid panel displays information about the document format as a whole and the layout component that is currently selected.

You can toggle the display of the Components List and Property Panel by clicking the arrows displayed at the header of each section (shown below).

For example, you can hide the panel to maximize the amount of space available on the screen to display the document layout.

The document layout section of the screen displays the layout components of the document format that is currently displayed and the relative position and size of each component. Each component is displayed as a shape on a page and displays a name to identify the purpose of the component.

To help you to position, size and align components accurately, you can display a layout grid within the document layout, as is shown in the example above. The display of the layout grid can be toggled via the Show Grid Lines option that is displayed at the top of the Components List and Property Grid panel. The grid interval can be set via the Document Format Settings screen (for more information, see below).

Document Format Settings

The document format settings allow you to do the following:

  • define the grid interval for the layout grid that can be displayed within the document layout enable snapping of layout components to the layout grid to aid aligning of layout components

  • define settings that determine how invoices and credit notes are previewed

  • define settings that determine how supplementary documents are previewed

The Document Format Settings are configured via the Document Format Settings pop up screen. To display the Document Format Settings screen, click Settings in the top right-hand corner of the Document Format screen.

Grid Interval

Sets the interval between the grid lines of the layout grid. This is specified in millimetres.

The following fields appear for invoice and credit note formats:

No. of Invoice Items

Sets the number of invoice/credit items that are displayed within the Invoice Items layout component when an invoice/credit note document format is previewed. Valid values are 0- 100.

No. of Debtor Taxation Items

Sets the number of taxation items to be shown within the Invoice Debtor Taxation List layout component when an invoice or credit note format is previewed.

No. of Billing Company Taxation Items

Sets the number of taxation items to be shown within the Invoice Billing Company Taxation List layout component when an invoice or credit note format is previewed.

No. of Bill Code Total Items

Sets the number of Bill Code Totals items to be shown within the Bill Code Totals List layout component when an invoice or credit note format is previewed.

Include Invoice Fee

If ticked, an invoice fee line is shown within the Invoice Totals component when an invoice/credit note sample is viewed.

The following fields appear for Payslip formats:

No. of Payslip Items/Allowances

Sets the number of Payslip Items / Allowances to be shown within the Payslip Items / Allowances component when a payslip is previewed.

No. of Deductions

Sets the number of Deductions to be shown within the Deductions component when a payslip is previewed.

No. of Leave Items

Sets the number of Leave Items to be shown within the Payslip Leave Balance component when a payslip is previewed.

No. of Payslip Super Items (AU Only)

Sets the number of Superannuation items to be shown within the Payslip Super component when a payslip is previewed.

Grid Interval

Sets the interval between the grid lines of the layout grid. This is specified in millimetres.

No. of Deductions (available for deductible service fee invoice formats only)

Sets the number of dummy service fee deductions that will be shown within the Deductible Service Fee Details component when a deductible service fee invoice format is previewed.

No. of Pay Items (available for EOFY statement formats only)

Sets the number of dummy pay items that will be shown within the Statement Items component when an EOFY statement format is previewed.

No. of Payslip Super Items (available for employer superannuation supplement formats only)

Sets the number of dummy items that will be shown within the Payslip Super component when an employer superannuation supplement format is previewed.

No. of Contribution Period Details Items (available for employer superannuation supplement formats only)

Sets the number of dummy items that will be shown within the Contribution Period Details component when an employer superannuation supplement format is previewed.

No. of Contribution Totals Items (available for employer superannuation supplement formats only)

Sets the number of dummy items that will be shown within the Contribution Totals component when an employer superannuation supplement format is previewed.

No. of Attendance Items (available for invoiced timesheet formats only)

Sets the number of dummy items that will be shown within the Attendance Items component when an invoiced timesheet format is previewed.

No. of Additional Items (available for invoiced timesheet formats only)

Sets the number of dummy items that will be shown within the Manual Items component when an invoiced timesheet format is previewed.

No. of Reimbursements (available for invoiced timesheet formats only)

Sets the number of dummy items that will be shown within the Reimbursement Items component when an invoiced timesheet format is previewed.

No. of Approval Audit Items (available for invoiced timesheet formats only)

Sets the number of dummy items that will be shown within the Timesheet Approvers component when an invoiced timesheet format is previewed.
