Releasing a Document Format
The status of all new document formats defaults to Pending so that the document formats cannot be used until they have been correctly set up and checked. Once a document format is ready to be used, its status must be changed manually to Released.
Until a document format is released, it cannot be assigned to an invoice format group (for invoices/credit notes only) and cannot be applied to pay companies or payees (for payslips only).
The status of a document format can be changed back to Pending after it has been released so long as the document format has not been used by a record in the system. Once the document format has been used by a record, its status cannot be changed.
To release a document format, follow the procedure below.
1. | Go to Maintenance > Document Designer Section > Document Formats. The Document Format screen opens. |

2. | Apply the Search criterion required to find the document format you wish to edit, and click Search. Search results display. | |
3. | Click the view action next to the document format you wish to edit. The Edit Document Format screen displays. | |
4. | Click on the Document Settings action located at the top of the screen. The Document Settings pop up displays. | |
5. | In the Status field on the Component List and Property Grid panel, select Released. |

6. | Click Save. The status of the document format layout changes to Released, the document format is saved and a confirmation message opens. |
