Assigning Pay & Bill Agreements to Hierarchy Groups

Description

A Hierarchy Group field is now available on a pay or bill agreement header if the agreement is assigned to a country for which hierarchy group functionality is enabled in Country Settings Maintenance. If available, the field allows selection of any hierarchy group that is configured for the corresponding country in Hierarchy Group Maintenance. It is not mandatory to select a hierarchy group and the field is locked down once the agreement has been used in a pay batch or invoice batch.

Pay and bill agreement headers now also feature a display-only field labelled Hierarchy Group Assigned to Rates. This field displays a tick if any of the pay rate rules or bill rate rules that belong to the agreement are assigned to a hierarchy group.

The Hierarchy Group and Hierarchy Group Assigned to Rates fields on an agreement header are highlighted in the example below.

A Hierarchy Group field is now also available on pay rate and bill rate rules on a pay or bill agreement respectively if the agreement is assigned to a country for which hierarchy group functionality is enabled in Maintenance > Hierarchy > Country Settings. If available, the field allows selection of any hierarchy group that is configured for the corresponding country in Hierarchy Group Maintenance. It is not mandatory to select a hierarchy group and the field is locked down once the rate rule has been used in a pay batch or invoice batch.

However, rate rules cannot be assigned to a hierarchy group if the agreement header is assigned to a hierarchy group and vice-versa.

The name of the Hierarchy Group field on the agreement header and on rate rules can be customised based on settings in Country Settings Maintenance and may therefore not match the name of the corresponding field in your system. For more information, see Enabling Hierarchy Group Functionality.

If an agreement header is assigned to a hierarchy group the system will filter the list of agreements that can be assigned to a job order by attempting to match the hierarchy level, hierarchy value and hierarchy group of the job order with an agreement. If the system cannot find an agreement that has a matching hierarchy level, hierarchy value and hierarchy group it will search for agreements with a matching hierarchy level and hierarchy value only.

Similarly, when determining the applicable pay or bill rate to be used to pay or bill a pay or bill item for a job order to which a hierarchy group has been assigned, the system will look for a pay rate or bill rate rule on the agreement for the job order that is assigned to a matching hierarchy level, hierarchy value and hierarchy group. If the system cannot find a matching rate rule on the agreement, it will search for a rate rule with a matching hierarchy level and hierarchy value only.

Benefits

This enhancement allows pay and bill agreements, as well as pay rate rules and bill rate rules that are associated with a pay or bill agreement respectively, to be matched to a hierarchy group. This provides the flexibility of matching and applying agreements and agreement rates based on a combination of hierarchy level, hierarchy value and customisable hierarchy group.

An agreement and rate rules belonging to an agreement can only be assigned to a hierarchy group if the agreement is assigned to a country for which hierarchy group functionality is enabled in Maintenance > Hierarchy > Country Settings.

The field label of the Hierarchy Group field on agreement headers and rate rules can also be customised in Country Settings Maintenance to suit your organisation's requirements. For more information, see Enabling Hierarchy Group Functionality.
Note also that the Hierarchy Group field on an agreement header is locked if the agreement has been used. If a hierarchy group needs to be applied to an existing agreement that has already been used, create a copy of the existing agreement and apply the hierarchy group to the copied agreement.

An agreement and rate rules belonging to an agreement can only be assigned to a hierarchy group if the agreement is assigned to a country for which hierarchy group functionality is enabled in Maintenance > Hierarchy > Country Settings.

The field label of the Hierarchy Group field on agreement headers and rate rules can also be customised in Country Settings Maintenance to suit your organisation's requirements. For more information, see Enabling Hierarchy Group Functionality.

Note also that the Hierarchy Group field on an agreement header is locked if the agreement has been used. If a hierarchy group needs to be applied to an existing agreement that has already been used, create a copy of the existing agreement and apply the hierarchy group to the copied agreement.
