Activities

The Recruitment Manager 'Activities' tool can be utilised where tasks or actions need to be performed, or a reminder is required.

Activities can be created from the following records / items within Recruitment Manager:

  • Client

  • Job Order

  • Candidate

  • Dashboard - where the Quick Access Add New Activity action is selected.

Activities display in a Client Contact record, where a Contact is applied to an Activity generated from a Client or Job Order record.  Activities display (view only) in a Cost Centre record where an Activity is generated from a Job Order that has the Cost Centre applied.

Activities can also be pushed to your Outlook Calendar if required.

Navigate to the Activities section within a record by selecting Activities in the Quick Access menu.

In the Top Toolbar, when you click on the Activities icon, the Search Activities page displays. The result list will load automatically based on the Defaults that you have set, ideally you should apply settings that display activities that you need to attend to.

Set Activity Defaults

Click on the Activities icon in the top toolbar, or from the left hand menu click Recruitment Manager > Search Activities.

The Search Activities page displays.

In the search criterion, change the fields to suit what results you need to see each time you open Search Activities.

The Range Type ‘</= Today Date’ plus Status ‘Awaiting’ will display all activities up to today’s date that have not yet been completed.

Click Default

The default search settings are saved.

Add an activity

Within the Client, Contact, Job, Candidate and the Dashboard, you can create a new Activity.

To create a general activity (not linked to a record), navigate to the Dashboard, Quick Access item and select Add New Activity.

To create an Activity within a record, navigate to the Activities section and select Add.

A new activity record is displayed.

In the Task Code field, select the code that best describes the type of activity you are creating.

If a description of the task code you selected has been configured in your system, it is displayed in the ‘Description’ field.

In the Description field, key in a description of the activity.

Note that if a pre-configured description is displayed, you can edit the description if necessary.

In the Status field, select the status that describes the current status of the task.  For example, select Awaiting to indicate that the task is a new task that is yet to be actioned.

Tick Create in Outlook if you want to add the activity as a task or appointment in Microsoft Outlook.

Where ‘Outlook Extensions’ has been configured, the activity is created in Outlook as a task or appointment depending on the ‘Task Code’ selected.

Where ‘Create in Outlook’ is selected and the task code has been configured as an appointment, ‘Task Duration’ will apply to the Outlook Appointment.  This item is editable.

Complete the activity requirements and select Save.

The activity is displayed in the Activities list.

 

  Edit an activity

Navigate to the activity within the Activities section of the record.

Select Edit.

The Activity record is displayed in Edit mode.

Make the changes required and select Save.

The changes are applied.
