Viewing Bulk Timesheets in Item View

When timesheets are listed on the Bulk Timesheets screen in Item View, you can view each timesheet item that appears on each of the listed timesheets and you can, depending on you user security permissions, edit, add or delete timesheet items via the Bulk Timesheets screen without having to open timesheets individually in a Timesheet Entry screen.

In the Item View, the list of timesheets on the Bulk Timesheets screen displays a series of columns that show a summary of the timesheet header information that identifies each timesheet as well as a series of columns that show the attributes of each of the timesheet items that appear on each timesheet. Where a cell within a column is not greyed out, you can edit the corresponding attribute of the timesheet item, as shown in the example below.

The exact attributes that are editable depend on the corresponding timesheet item type.

Payee No.

Displays the payee number that uniquely identifies the payee to which the listed bulk timesheet corresponds.

Candidate No.

Displays the candidate number that uniquely identifies the candidate to which the listed bulk timesheet corresponds.

Name

Displays the name of the payee to whom the listed bulk timesheet corresponds.

Job Order Code

Displays the job order number that uniquely identifies the job order to which the listed timesheet corresponds.

Position

Displays the name of the job position to which the listed bulk timesheet corresponds.

Start Date

Displays the start date of the period to which the listed bulk timesheet corresponds.

End Date

Displays the end date of the period to which the listed bulk timesheet corresponds.

Attachments

If the status of the timesheet is Incomplete (the timesheet has been edited and saved but has not been approved) this column displays Yes if one or more electronic documents have been attached to the timesheet or displays No if the timesheet has no attachments. If the status of the timesheet is Available (the timesheet has not been edited), this column is blank as attachments cannot be added to a timesheet without editing the timesheet.

Status

Displays the current status of the listed bulk timesheet. This is one of the following:

Available – the timesheet has not been edited or approved.

Incomplete – the timesheet has been edited and saved but has not been approved.

Item Type

Displays the timesheet item type that is listed on the corresponding line. Depending on your user security permissions, you can change the item type of an item on a bulk timesheet by double-clicking within this column and selecting the relevant timesheet item type from a dropdown list.

Date

Displays the date to which a timesheet item corresponds. Depending on your user security permissions, you can edit the date of a timesheet item by double-clicking within this column and selecting a new date from a dropdown list.

Item

Displays the name of the listed timesheet item. For example, where the item type is Reimbursement, this column displays the actual reimbursement being claimed, such as Taxi Fare, Accommodation or alike. Depending on your user security permissions, you can edit the item by double-clicking within this column and selecting a different item from a dropdown list.

Start Time

Displays the time of day that a shift or an absence began. This column applies only where the item type of the listed timesheet item is one of Attendance or Absence. Depending on your user security permissions, you can edit the start time of an item, where applicable to the item type, by double-clicking within this column and using the clock control to select a different time or by manually keying in the new start time.

End Time

Displays the time of day that a shift or an absence ended. This column applies only where the item type of the listed timesheet item is one of Attendance or Absence. Depending on your user security permissions, you can edit the end time of an item, where applicable to the item type, by double-clicking within this column and using the clock control to select a different time or by manually keying in the new start time.

Break Start Time

Displays the time of day at which a break in a shift or absence began. This column applies only where the item type of the listed timesheet item is one of Attendance or Absence. Depending on your user security permissions, you can add or edit a break start time by double-clicking within this column and using the clock control to select a time or by keying in a start time. A shift or absence can have multiple breaks. However, the Bulk Timesheets screen will only display the first (earliest) break. Where multiple breaks do exist, an icon is displayed to the right-hand side of the Break End Time column (for more information, see below). In such cases, you can view all breaks by displaying the bulk timesheet in the Timesheet Entry screen. To do this, click the edit button next to the timesheet. If you need to add a break to a timesheet item on a bulk timesheet and one break already exists for that timesheet item, use the Timesheet Entry screen to add the additional break.

Break End Time

Displays the time of day at which a break in a shift or absence ended. This column applies only where the item type of the listed timesheet item is one of Attendance or Absence. Depending on your user security permissions, you can add or edit a break end time by double-clicking within this column and using the clock control to select a time or by keying in a start time. A shift or absence can have multiple breaks. However, the Bulk Timesheets screen will only display the first (earliest) break. Where multiple breaks do exist, an icon is displayed to the right-hand side of the Break End Time column. In such cases, you can view all breaks by displaying the bulk timesheet in the Timesheet Entry screen. To do this, click the Edit button next to the timesheet. If you need to add a break to a timesheet item on a bulk timesheet and one break already exists for that timesheet item, use the Timesheet Entry screen to add the additional break.

Qty.

Displays the quantity of a manual timesheet item (allowance) that is being claimed. This column applies only where the item type of the listed timesheet item is Manual. Depending on your user security permissions, you can add or change the quantity by keying in the relevant quantity in this column.

Rate

Displays the per unit rate at which a manual timesheet item (allowance) is being claimed. For example, where the quantity being claimed is 2 and the rate is 30.00, the total value of the reimbursement being claimed is 2x30.00=$60.00. This column applies only where the item type of the listed timesheet item is Manual. Depending on your user security permissions, you can add or change the rate by keying in the relevant value in this field. However, allowances can have a fixed rate. If the listed allowance has a fixed rate, and therefore a rate cannot be keyed in manually, this column displays N/A.

Reimburs. Net

Displays the reimbursement amount that is being claimed, minus any applicable tax. This column applies only where the item type of the listed timesheet item is Reimbursement. Depending on your user security permissions, you can add or change the net reimbursement value by keying in the relevant amount in this column.

Reimburs. GST

Displays the GST, or equivalent consumption/value-added tax, amount that applies to a reimbursement. This column applies only where the item type of the listed timesheet item is Reimbursement. Depending on your user security permissions, you can add or change the GST by keying in the relevant amount in this column.

Total Scheduled Hrs

Displays the total number of hours the payee was scheduled to work in the corresponding job during the period to which the listed bulk timesheet corresponds. A value is displayed in this column on the first line that corresponds to each bulk timesheet only and is blank if a job schedule has not been defined on the corresponding job order. You can use this column in conjunction with the Total Atten. Hrs column to determine if the payee worked more or less hours then they were scheduled to work and therefore whether the timesheet requires closer inspection prior to approval.

Total Atten. Hrs

Displays the total number of hours the payee actually worked in the corresponding job order during the period to which the listed bulk timesheet corresponds. A value is displayed in this column on the first line that corresponds to each bulk timesheet only and is the same as the value in the Total Scheduled Hrs field unless the timesheet has been edited such that the total attendance hours exceed the hours the payee was scheduled to work or the payee took leave on a day that the payee was scheduled to work.

Total Abs. Hours

Displays the total number of hours the payee was absent from the corresponding job during the period to which the listed bulk timesheet corresponds. A value is displayed in this column on the first line that corresponds to each bulk timesheet only and only if the payee took leave during the corresponding period.

Total Additional Items Qty.

Displays the total quantity of manual timesheet items (allowances) included on the listed bulk timesheet. A value is displayed in this column on the first line that corresponds to each bulk timesheet only and only if allowances have been claimed on the listed timesheet.

Total Reimbursements

Displays the total amount of reimbursements included on the listed bulk timesheet. A value is displayed in this column on the first line that corresponds to each bulk timesheet only and only if reimbursements have been claimed on the listed timesheet.


The following actions are available in the Item View:

Action

Description

Approves the selected timesheet(s). This changes the status of the timesheet(s) to Released so that the timesheet(s) can undergo pay and bill processing.

On being approved, the selected timesheets are removed from the list of bulk timesheets that are shown on the screen.

Expires the selected timesheet(s). Expiring timesheets allows you to remove timesheets that are no longer required.

On being expired, a timesheet is moved to the Expired Timesheets, which can be accessed via the Portal > Time and Attendance > Expired Tab.

This action is available only for those timesheets that have a status of Available. That is, only those bulk timesheets that have not been edited by an approver can be expired.

Prints a detailed version of the selected bulk timesheet.

This action is not available for bulk timesheets that have a status of Available.

Prints a summary version of the selected bulk timesheet.

This action is not available for bulk timesheets that have a status of Available.

Saves changes you have made to the items on the corresponding bulk timesheet.

Opens the timesheet that is current highlighted in the list of bulk timesheets in a Timesheet Entry screen, thereby allowing you to view the selected timesheet in detail or to edit the timesheet.

Use this action if you need to add attachments, additional items (manual items and reimbursements) project codes or if you need to add breaks to a bulk timesheet.

Approves the corresponding timesheet. This changes the status of the timesheet to Released so that the timesheet can undergo pay and bill processing.

On being approved, the selected timesheets are removed from the list of bulk timesheets that are shown on the screen.

Adds a new timesheet item to the corresponding bulk timesheet.

Copies the corresponding, existing timesheet item and adds a new timesheet item to the bulk timesheet based on the properties of the existing timesheet item.

Deletes the corresponding timesheet item from a bulk timesheet.
