Viewing Bulk Timesheets in Header View

By default the Bulk Timesheets screen displays bulk timesheets in Header View. This allows you to view the timesheets header information of each bulk timesheet that is listed on the Bulk Timesheets screen.

The Timesheet Header information includes all information that identifies the timesheet, such as the name of the client and payee to whom the timesheet corresponds and the job order number to which the timesheet corresponds.

The timesheet header information also shows a breakdown of the total hours worked compared to the total hours scheduled and total reimbursements claimed. This allows you to approve the majority of timesheets that have, for example, total hours matching the scheduled hours and no reimbursement claims, without the need to open and check each of those timesheets.

Parent

Displays the name of the parent company that owns the client to which the listed bulk timesheet corresponds or displays blank if the client is not linked to a parent company.

Client

Displays the name of the client to whom the listed bulk timesheet corresponds.

Cost Centre

Displays the name of the client site to which the bulk timesheet corresponds, if any.

Department

Displays the name of the client department to which the listed bulk timesheet corresponds, if any.

Contact Surname

Displays the surname of the client contact person who placed the job order to which the listed bulk timesheet corresponds.

Contact First Name

Displays the first name of the client contact person who placed the job order to which the listed bulk timesheet corresponds.

Job Order Code

Displays the job order number that uniquely identifies the job order to which the listed timesheet corresponds.

Job Position

Displays the name of the job position to which the listed bulk timesheet corresponds.

Candidate No.

Displays the candidate number that uniquely identifies the candidate to which the listed bulk timesheet corresponds.

Payee No.

Displays the payee number that uniquely identifies the payee to which the listed bulk timesheet corresponds.

Payee Surname

Displays the surname of the payee to whom the listed bulk timesheet corresponds.

Payee First Name

Displays the first name of the payee to whom the listed bulk timesheet corresponds.

Start Date

Displays the start date of the period to which the listed bulk timesheet corresponds.

End Date

Displays the end date of the period to which the listed bulk timesheet corresponds.

Job Order Start Date

Displays the start date of the job order to which the listed bulk timesheet corresponds.

Job Order End Date

Displays the end date of the job order to which the listed bulk timesheet corresponds.

Job Type

Displays the unique code that identifies the job type of the job order to which the listed bulk timesheet corresponds, if any. The job type code is defined in the Type field on a job order.

Po No

Displays the purchase order number to which the listed bulk timesheet corresponds, if any.

Total Scheduled Hrs

Displays the total number of hours the payee was scheduled to work in the corresponding job during the period to which the listed bulk timesheet corresponds. You can use this column in conjunction with the Total Atten. Hrs column to determine if the payee worked more or less hours than what they were scheduled to work and if therefore whether the timesheet requires closer inspection prior to approval. This column is blank if a job schedule has not been defined on the corresponding job order.

Total Atten. Hrs

Displays the total number of hours the payee actually worked in the corresponding job during the period to which the listed bulk timesheet corresponds. This column is blank if the status of the listed bulk timesheet is Available (the timesheet has not been edited). In such cases, the total hours worked by the payee can be assumed to be the same as the total hours the payee was scheduled to work, as shown in the Total Scheduled Hrs column. The exception to this is if the Approved Leave column displays Yes, in which case the payee's total attendance hours will be the equivalent of the total scheduled hours minus any absence hours. For more information about the Approved Leave column, see below. To view the duration of any leave taken you can view the bulk timesheet in the Item View. Alternatively, you can open the timesheet in the Timesheet Entry screen. To do this, click on the timesheet in the list.

Total Abs. Hours

Displays the total number of hours that the payee was absent from the corresponding job during the period to which the listed bulk timesheet corresponds. This column is blank if the status of the listed bulk timesheet is Available (the timesheet has not been edited). To view any leave taken you can view the bulk timesheet in the Item View. Alternatively, you can open the timesheet in the Timesheet Entry screen. To do this, click on the timesheet in the list. If the status of the timesheet is Incomplete (the timesheet has been edited and saved but has not been approved) this column displays 0 if there are no leave items on the timesheet.

Total Reimbursements

Displays the total monetary value of all reimbursements claimed on the listed bulk timesheet. This column is blank if the status of the timesheet is Available (the timesheet has not been edited), as reimbursements cannot exist on a timesheet unless the timesheet is edited. If the status of the timesheet is Incomplete (the timesheet has been edited and saved but has not been approved) this column displays 0 if there are no reimbursement items on the timesheet.

Total Additional Items Qty.

Displays the total quantity of all manual items included on the listed bulk timesheet. This column is blank if the status of the timesheet is Available (the timesheet has not been edited), as reimbursements cannot exist on a timesheet unless the timesheet has been edited. If the status of the timesheet is Incomplete (the timesheet has been edited and saved but has not been approved) this column displays 0 if there are no manual items on the timesheet.

Attachments

If the status of the timesheet is Incomplete (the timesheet has been edited and saved but has not been approved) this column displays Yes if one or more electronic documents have been attached to the timesheet or displays No if the timesheet has no attachments. If the status of the timesheet is Available (the timesheet has not been edited), this column is blank as attachments cannot be added to a timesheet without editing the timesheet.

Approved Leave

Displays Yes if the corresponding payee has approved leave that falls within the start and end dates of the listed bulk timesheet. Otherwise, this column displays No. Where the status of the listed bulk timesheet is Available (the timesheet has not been edited), and therefore the Total Atten. Hrs column is blank, you can refer to this column to determine if the payee may have taken any leave during the period to which the listed timesheet corresponds, which may reduce the total hours the payee actually worked.

Status

Displays the current status of the listed bulk timesheet. This is one of the following:

Available – the timesheet has not been edited or approved.

Incomplete – the timesheet has been edited and saved but has not been approved.

The following actions are available in the Header View:

To view a timesheet in detail or to edit, click on a timesheet in the Bulk Timesheet list. This will open the timesheet in the Timesheet Entry view.

Use this action if you need to add attachments, additional items (manual items and reimbursements) project codes or if you need to add breaks to a bulk timesheet.

Approves the selected timesheet(s). This changes the status of the timesheet(s) to Released so that the timesheet(s) can undergo pay and bill processing.

On being approved, the selected timesheets are removed from the list of bulk timesheets that are shown on the screen.

Expires the selected timesheet(s). Expiring timesheets allows you to remove timesheets that are no longer required.

On being expired, a timesheet is moved to the Expired Timesheets, which can be accessed via the Portal > Time and Attendance > More Timesheets menu.

This action is available only for those timesheets that have a status of Available. That is, only those bulk timesheets that have not been edited by an approver can be expired.

Clears the selected timesheet(s). This undoes any changes that have been made to the timesheet(s) and reverts their status to Available.

This action is unavailable for timesheets that have a status of Available.

Prints a detailed version of the selected bulk timesheet.

This action is not available for bulk timesheets that have a status of Available.

Prints a summary version of the selected bulk timesheet.

This action is not available for bulk timesheets that have a status of Available.
