How to manage Questionnaire Email Templates

Search for a Questionnaire Email Template

Existing email templates are listed in the Questionnaire Email Templates screen. Existing email templates can be opened for viewing and editing from the list in the Questionnaire Email Templates screen.
By default, the Questionnaire Email Templates screen lists all existing email templates that are linked to all agency brands and offices within the country to which you are assigned. However, you can use the fields in the search section at the top of the Questionnaire Email Templates screen to search for email templates linked to other countries and/or specific agency brands and offices.

Open Maintenance > Questionnaire Section > Email Template.

The Email Template page displays.

In the fields within the search section at the top of the screen, select or type the relevant search criteria depending on the email template(s) you want to find.

Country

Country to which the email template is linked. This defaults to the country to which you are assigned. To search for templates linked to another country, click this field and select the relevant country name from this field.

Brand

Agency brand to which the email template is linked within the selected country. This defaults to Any Brand, thereby allowing you to search for templates linked to any agency brand. To search for templates linked to a specific agency brand, click this field and select the relevant brand from this field.

Office

Agency office to which the email template is linked within the selected country. This defaults to Any Office, thereby allowing you to search for templates linked to any agency office. To search for templates linked to a specific agency office, click this field and select the relevant office from this field.

Name

Name of the email template to be found. To search for a specific template by name, type the template name in this field.

Message Type

Type of message to which the email template applies. This defaults to Any Message Type, thereby allowing you to search for templates applicable to all message types. For example, if you select Auto Response - Applicant Discarded only those templates that are applicable to rejection message emails will be listed.

Status

The status of the email template. This defaults to Active, so you can search for templates that are currently active.

Note that the search section of the screen can be hidden and un-hidden by clicking at the top of the screen. The search section should be unhidden by default.

Click Search.

The existing email templates that match your search criteria are listed in the Email Template List.

Edit an Existing Template

Any attributes of an existing email template, as defined when the template was created, can be edited if necessary. To edit an existing template, follow the procedure below.

Open Maintenance > Questionnaire Section > Email Template.

The Email Template page displays.

Select the search criterion required to find the template you wish to edit and click Search.

A list of templates matching your criterion displays.

Click the Action menu next to the template you wish to edit and select Edit.

The Edit Email Template pop up displays.

Make the changes required.

Click Save Change.

A confirmation message opens, indicating the template has been saved successfully.

Delete an Email Template

Email templates that are no longer required can be deleted. To delete and existing email template, follow the procedure below.

1.

Open Maintenance > Questionnaire Section > Email Template.

The Email Template page displays.



2.

Select the search criterion required to find the template you wish to edit and click Search.

A list of templates matching your criterion displays.



 

Click the Action menu next to the template you wish to edit and select Delete.

The Delete Email Template pop up displays.

3.

Click Delete.

A confirmation message opens prompting you to confirm the deletion.

4.

To continue deleting the selected template, click Yes.

The confirmation message closes and the selected template is deleted.
