Searching for Existing Finance Integration Batches

You can find Finance Integration export batches that have been processed successfully by searching for the batches via the Finance Integration > Batch Maintenance screen.

The Batch Maintenance screen consist of two sections:

  • the search header

  • the Batch List.

These are described below.

Search Header

The search header allows you to specify the search criteria you want to apply when searching for existing Finance Integration batches. The more information you specify in the search header the fewer batches will be returned and listed in the batch list when you perform a search, thereby allowing you to focus in on a specific batch or batches that you need to find.

Country

Filters the list of existing Finance Integration batches according to the country to which the batches belong.

By default, the All option is selected to allow you to search for batches belonging to any country. To search for batches that belong to a specific country only, select the relevant country in this field.

Export Batch ID From

Filters the list of existing Finance Integration batches according to the lowest batch ID that uniquely identifies a batch. To search for batches that have a batch ID that is equal to or higher than a specific batch ID, key in the relevant batch ID in this field. For example, if you key in 50 only those batches that have a batch ID of 50 or higher will be returned by the search.

You can use this field in conjunction with the Export Batch ID To field (see below) to search for batches that have an ID that falls within a certain ID range.

Export Batch ID To

Filters the list of existing Finance Integration batches according to the highest batch ID that uniquely identifies a batch. To search for batches that have a batch ID that is equal to or lower than a specific batch ID, key in the relevant batch ID in this field. For example, if you key in 55 only those batches that have a batch ID of 55 or lower will be returned by the search.

You can use this field in conjunction with the Export Batch ID From field (see above) to search for batches that have an ID that falls within a certain ID range.

This field is mandatory if a batch ID is specified in the Export Batch ID From field.

Export Date From

Filters the list of existing Finance Integration batches according to the earliest date on which the batch was exported. This field defaults to the current date. To search for batches that have an export date that is earlier than the current date, click within this field and use the calendar control to select the relevant date. For example, if you select 11/08/2015 only those batches that were exported on or after 11/08/2015 will be returned by the search.

Export Date To

Filters the list of existing Finance Integration batches according to the latest date on which the batch was exported. To search for batches that were exported no later than a certain date, click within this field and use the calendar control to select the relevant date. For example, if you select 12/08/2015 only those batches that were exported on or before 12/08/2015 will be returned by the search.

This field is mandatory and cannot be set to a date that is prior to the date specified in the Export Date From field (see above).

Posting Date From

Filters the list of existing Finance Integration batches according to the earliest posting/booking date of a batch. To search for batches that have a posting/booking date that is no earlier than a certain date, click within this field and use the calendar control to select the relevant date. For example, if you select 12/08/2015 only those batches that have a posting/booking date on or after 12/08/2015 will be returned by the search.

You can use this field in conjunction with the Posting/Booking Date To field (see below) to search for batches that have a posting/booking date that falls within a certain date range.

Posting Date To

Filters the list of existing Finance Integration batches according to the latest posting/booking date of a batch. To search for batches that have a posting/booking date that is no later than a certain date, click within this field and use the calendar control to select the relevant date. For example, if you select 12/08/2015 only those batches that have a posting/booking date on or before 12/08/2015 will be returned by the search.

This field is mandatory if a date is selected in the Posting/Booking Date From field (see above) and cannot be set to a date that is prior to the date selected in the Posting/Booking Date From field.

Batch Status

Filters the list of existing Finance Integration batches by their current status. This field defaults to All, thereby allowing you to find batches regardless of their status. To find batches that have a specific status, select one of the following options in this field:

  • Processed - returns only those batches that have been processed successfully

  • Regenerated - returns only those batches that have been processed successfully and have then been regenerated

  • Deleted - returns only those batches that have been processed successfully and were subsequently deleted

Created By User

Filters the list of existing Finance Integration batches according to the username of the user who manually triggered the export process. To find batches that were manually created by a specific user, key in the relevant username in this field.

Leading and trailing wildcards (%) can be used for partial matching on the username. For example, if you key in %stone in this field, the system will search for batches that were created by users with usernames such as AStone and CJohnstone. If you key in cstone% the system will search for batches that were created by users with usernames such as CStone and CStoner.

This field is unavailable if the Auto Created field (see above) is ticked.

Deleted By

Filters the list of existing Finance Integration batches according to the username of the user who deleted a batch. To find deleted batches that were deleted by a specific user, key in the relevant username in this field.

Leading and trailing wildcards (%) can be used for partial matching on the username. For example, if you key in %stone in this field, the system will search for batches that were deleted by users with usernames such as AStone and CJohnstone. If you key in cstone% the system will search for batches that were deleted by users with usernames such as CStone and CStoner.

This field is available only if the Deleted option is selected in the Batch Status field (see above).

Regenerated By

Filters the list of existing Finance Integration batches according to the username of the user who regenerated a batch. To find regenerated batches that were regenerated by a specific user, key in the relevant username in this field.

Leading and trailing wildcards (%) can be used for partial matching on the username. For example, if you key in %stone in this field, the system will search for batches that were regenerated by users with usernames such as AStone and CJohnstone. If you key in cstone% the system will search for batches that were regenerated by users with usernames such as CStone and CStoner.

This field is available only if the Regenerated option is selected in the Batch Status field (see above).

Transaction Types

Filters the list of existing Finance Integration batches according to the types of transactions that were included in the batch. This field defaults to Any, thereby allowing you to find batches regardless of the types of transactions that were included in those batches. If you want to find batches that included specific transaction types, select one of the following options in this field:

  • Debtor - returns batches only if they included Debtor transactions

  • Wages - returns batches only if they included Wages transactions

  • Sales - returns batches only if they included Sales transactions

  • Un-invoiced Sales - returns batches only if they included Un-invoiced Sales transactions

  • Unpaid Wages - returns batches only if they included Unpaid Wages transactions

Sale Types

Filters the list of existing Finance Integration batches according to the types of sales transactions that were included in the batch. You can select one or more of the following options in this field:

  • Timesheet Based Invoice - returns batches that include sales transactions related to invoicing of timesheets

  • Timesheet Based Credit Note - returns batches that include sales transactions related to crediting of timesheets that were invoiced

  • Non Timesheet Based Invoice – Vendor/Supplier - returns batches that include sales transactions relating to invoicing of services rendered for supply of candidates or service via a third-party agency

  • Non Timesheet Based Invoice – Perm/Service - returns batches that include sales transactions relating to the invoicing of permanent placements and services associated with such placements

  • Non Timesheet Based Credit Note – Vendor Supplier - returns batches that include sales transactions relating to crediting of invoices for services rendered for supply of candidates or service via a third-party agency

  • Non Timesheet Based Credit Note – Perm/Service - returns batches that include sales transactions relating to the crediting of invoices for permanent placements and services associated with such placements

  • Un-invoiced Sales - returns batches that include un-invoiced sales transactions.

All options are selected by default.

This field is available only if the Sales option is selected in the Transaction Types field (see above).

Batch List

The batch list lists the Finance Integration batches that match the search criteria that you have specified in the search header. The batch list shows summary information about each batch that is listed. 

Export Batch ID

Displays the batch ID that uniquely identifies the listed Finance Integration batch.

Export Date/Time

Displays the date and time when the listed Finance Integration batch was exported.

Posting Date

Displays the posting/booking date that identifies the financial period to which the listed Finance Integration batch corresponds.

Status

Displays the status of the listed Finance Integration batch as follows:

  • Processed – the batch was created/exported successfully

  • Deleted - the batch was created/exported successfully and was then rolled back

  • Regenerated – the batch was created/exported successfully and was then recreated.

Created By

Displays the username who created the listed Finance Integration batch.

Deleted By

Displays the username of the user who rolled back the listed Finance Integration batch. This field is blank if the status of the batch is not Deleted.

Regenerated By

Displays the username of the user who regenerated the listed Finance Integration batch. This field is blank if the status of the batch is not Regenerated.

The following actions are available against each batch that is listed in the batch list.

View

Opens the Batch Details screen, thereby allowing you to view detailed information about the listed batch. This action is unavailable if the status of the batch is Deleted.

Download

Downloads the export files that were generated as a result of processing the listed batch, thereby allowing you to open the files on your computer or to save the files to a location on your network.

Regenerate

Recreates the listed batch using the Finance Integration system maintenance settings that are currently valid instead of those that were valid on the date the batch was originally exported.

Delete

Rolls back the listed batch, thereby releasing all items within the batch so that they can be included in another batch if necessary.
