How to Create a Notification

Notifications are created and maintained via the Maintenance area within the Time and Attendance workspace. This can be accessed by clicking on Maintenance > Time and Attendance.

To create a notification, follow the procedure below.

In Recruitment Manager > Maintenance > Time & Attendance, click Notifications.

The Notifications search screen opens.

In the Notifications Maintenance screen, Add.

The Notifications Maintenance screen opens.

If this notification is to be a notification that is triggered as soon as an event occurs, click Immediate.

Skip this step if the notification is scheduled to be triggered after a certain amount of time.

In the Name field, type a descriptive name for the notification. This must be unique.

In the Notification Trigger field, select the trigger that will cause an instance of this notification to be generated.

If you do not want the notification to be available immediately, click Active to clear the tick. Otherwise, skip this step.

If you do not want the notification to be sent to timesheet workflow participants, click Do Not Send Notification so that the option is ticked and go directly to step 11.
Otherwise, skip this step and proceed to step 8.

In the From Email field, key in a reply email address if recipients of the notification are to have the ability to reply to the notification if it is delivered via email.

Alternatively, leave the From Email field blank if you do not want recipients to be able to respond to the notification if it is delivered via email. If left blank, the from email address will default to a system-generated do not reply email address (for example: do-not-reply@ourcompanyname.com).

On the Delivery Methods tab, click each delivery method by which this notification is to be delivered and for each delivery method you select, select the notification template that is to be used by selecting an option from the corresponding dropdown field.

Note that you must select at least one delivery method.

Note also that if you want to send email and/or SMS notifications as grouped notifications, the template you select for these delivery methods will not be used but must be selected regardless in case the grouping option is deselected at a later time.

If this notification is a scheduled notification, select the Grouping (optional), Delivery Frequency and Secondary Recipient Delivery Methods (optional) options. For more information, see below.

If this notification is an immediate notification, select the Grouping (optional) and initiator (for approval notifications only) options. For more information, see below.

Click Save.

A confirmation message is displayed indicating that the notification has been saved.

How to Select a Grouping Interval for a Notification

A grouping interval can be applied to a notification so that rather than sending individual notifications each time the notification is triggered, one combined notification is sent at regular intervals. This applies to notifications delivered via email and SMS only.

To select the grouping interval for a notification, follow the procedure below.

On the Notification Entry screen, click the Grouping tab.

The Grouping tab is activated.

Click the Group field.

A tick appears in the Group field and the Group Interval field is enabled.

In the Group Interval field, select the interval for sending this notification. For example, if you select 3 hours, all notifications of this type will be grouped into a single notification that will be sent once every three hours, starting at midnight. NOTE; Whilst you can configure Delivery Frequency (shown below), it does not make sense to use this in combination with Grouping, as the grouping process already observes the Group Interval selected.

How to Select the Delivery Frequency

To select the delivery frequency for a scheduled notification, follow the procedure below.

On the Notification Entry screen, click the Delivery Frequency tab.

The Delivery Frequency tab is activated.

In the Delay Frequency field, key in the number of hours or days delay for delivering the notification. Note that if this notification is a reminder notification, the delay is relative to the week ending date of a timesheet. If this notification is an escalation notification, delay is relative to the date and time a timesheet is submitted for approval.

Note also that the delay frequency can be a negative value. For example, setting a delay frequency of -1 days will allow a reminder notification to be sent to a timesheet initiator one day before the week ending date of a timesheet so that the initiator can be reminded to submit the timesheet.

In the Reoccurrence Frequency field, key in the number of hours or days that is to elapse since the notification was last triggered before the notification will be triggered again if a timesheet is yet to be actioned.

How to Select the Secondary Recipient Delivery Methods

If the notification is a scheduled reminder notification, it is possible to configure the notification so that a secondary notification will also be automatically sent to the timesheet initiator if a reminder notification is sent to an approver of a timesheet. This allows the timesheet initiator to be alerted that a timesheet that they have submitted for approval is yet to be approved by an approver despite a certain amount of time having elapsed since the timesheet was submitted. Therefore, this allows the timesheet initiator to follow up the timesheet with the relevant approver to ensure that there are no issues with the timesheet and that the timesheet can be approved before the approval deadline.

To configure a reminder notification so that a secondary notification will be sent to the timesheet initiator, you must select the type of approver who must receive the reminder if the secondary notification is to be triggered. This can be a client approver, agency approver or both. You must also select the notification template that is to be used to send the secondary notification to the timesheet initiator. A different template can be selected for each delivery method (email, SMS, internal message) by which the secondary notification can be sent.

To select secondary recipient delivery methods, follow the procedure below.

On the Notification Entry screen, click the Secondary Recipient Delivery Method tab.

The Secondary Recipient Delivery Method tab is activated.

In the Approver Type field, select the type of approver this notification must be sent to if a secondary notification is to be triggered and sent to the timesheet initiator.

Click each delivery method by which the secondary notification is to be delivered to the timesheet initiator and for each delivery method you select, select the notification template that is to be used by selecting an option from the corresponding dropdown field.

How to Select the Initiator Settings

If the notification is an immediate approval notification, it is mandatory to select one or more initiator types to which the notification will apply. To select the initiator settings, follow the procedure below.

On the Notification Entry screen, click the Initiator tab.

The Initiator tab is activated.

Click Payee, Client and/or Agency depending on the type of timesheet initiator to which this notification is to be sent.
