Managing Notification Templates
The Template Maintenance screen within the Maintenance area allows you to manage any existing templates. From this screen you can do any of the following:
list all existing notification templates or search for specific notification templates
open existing notification templates for editing
delete obsolete notification templates.
These processes are described below.
Listing and Finding Existing Notification Templates
The Templates maintenance item within the Maintenance area for Time & Attendance, allows you to list all notification templates that currently exist as well as allowing you to search for specific notification templates.
To list all existing notification templates, follow the procedure below.
1. | In Recruitment Manager > Maintenance > Time & Attendance, click Templates. The Template screen displays. |
2. | In the Left Hand Categories pane, select Timesheet. The Template Maintenance screen opens. |
3. | Click on the type of Notification Template type you wish to view, for example select the 'Email' folder if you wish to view an Email Notification Template. In the Right Hand pane, a list of Templates for the selected type displays. |
Editing an Existing Notification Template
Any attributes of an existing notification template can be edited whenever required. For example, you can change the template subject and message text if necessary.
To edit an existing notification template, follow the procedure below.
1 | In Recruitment Manager > Maintenance > Time & Attendance, click Templates. The Template screen displays. |
2. | In the Left Hand Categories pane, select Timesheet. Nested folders display for Email / SMS / Notification. |
3. | Click on the type of Notification Template you wish to edit, for example select the 'Email' folder if you wish to view an Email Notification Template. In the Right Hand pane, a list of Templates for the selected type displays. |
4. | Click on the Action menu to the right of the Template you wish to edit. The Action drop down menu displays. |
5. | Click Edit. The Template screen opens in Edit mode. |
6. | Edit the template as required and select Save. A confirmation message is displayed and the template is saved. |
Deleting Existing Notification Templates
Any notification template that is not used by a notification can be deleted from the system if no longer required. You cannot delete a notification template that is currently referenced by a notification. If you need to delete a notification template that is currently used, edit the notification so that it no longer references the template you need to delete.
To delete an existing notification template, follow the procedure below.
1. | In Recruitment Manager > Maintenance > Time & Attendance, click Templates. The Template screen displays. |

3. | Click on the type of Notification Template you wish to edit, for example select the 'Email' folder if you wish to view an Email Notification Template. In the Right Hand pane, a list of Templates for the selected type displays. |
4. | Click on the Action menu to the right of the Template you wish to edit. The Action drop down menu displays. |
3. | Click Delete. A Confirmation message displays. |
If the notification template you attempt to delete is currently used by a notification an error message will be displayed when you attempt to delete the template and the operation will fail.
