Viewing a Debtor's Timesheet Details

For each debtor that belongs to an invoice batch group, you can display a list of timesheets that will be invoiced to the debtor. By doing so, you can see which of the debtor's timesheets are ready to be invoiced and which timesheets are yet to be reviewed.
For those timesheets that are not yet ready for invoicing, you can check their status. For example, one or more timesheets that are expected to be invoiced in the current billing cycle may still be awaiting approval. If necessary, steps can then be taken to ensure that the relevant timesheets are ready for invoicing prior to creating the invoice batch. Alternatively, the invoice batch can be created anyway, in which case any timesheets that are not ready for invoicing at the time the batch is created can be invoiced as part of another invoice batch at a later time.
The list of a debtor's timesheets can be viewed in the Timesheet Details screen. To display the Timesheet Details screen, click View next to the relevant debtor in the Invoice Batch Group screen, as shown in the example below.

An example of the Timesheet Details screen is shown below.

Filter Type

Filters the debtor's timesheets that are listed on the Timesheet Details screen by category. The available categories are as follows:

Difference – lists all timesheets, including adjustment and late timesheets, that are expected to be invoiced during the invoice batch group billing cycle, that are not ready for invoicing. This option is selected by default.
Expected In Period – lists timesheets, excluding adjustment and late timesheets, which are expected to be invoiced during the invoice batch group billing cycle, regardless of whether the timesheets are ready to be invoiced.
Reviewed In Period – lists timesheets, excluding adjustment and late timesheets, which are expected to be invoiced during the invoice batch group billing cycle and are ready for invoicing.
Expected Adjustment – lists adjustment timesheets expected to be invoiced as part of the billing cycle of the debtor's invoice batch group, regardless of whether the timesheets are ready for invoicing.
Reviewed Adjustment – lists adjustment timesheets that are ready for invoicing.
Expected Out Of Period – lists late timesheets that are expected to be invoiced as part of the billing cycle of the debtor's invoice batch group, regardless of whether the timesheets are ready for invoicing.
Reviewed Out Of Period – lists late timesheets that are ready for invoicing.

Filter Stage

Filters the debtor's timesheets that are listed on the Timesheet Details screen by timesheet processing stage. The available options are as follows:

All – lists timesheets regardless of their processing stage.
Not Keyed – lists timesheets that are yet to be keyed in by the timesheet submitter.
Incomplete – lists timesheets that have been keyed in by the timesheet submitter but are yet to be submitted for approval.
Awaiting Approval – lists timesheets that have been keyed in and submitted and are waiting on approval.
Interpretation – lists timesheets that have been keyed in, submitted and approved and are undergoing pay and bill interpretation.

Not Reviewed – lists timesheets that been keyed in, submitted, approved and interpreted but are yet to be flagged as Reviewed.

Reviewed – lists timesheets that have been flagged as Reviewed and that are therefore ready for invoicing.

Some options in this field are unavailable depending on what is selected in the Filter field. This is because filtering by certain combinations of options is not valid. For example, if you select Difference in the Filter field, the screen will only list timesheets that are yet to be flagged as Reviewed. Therefore, when the Difference option is selected in the Filter field, the Reviewed option is unavailable as no timesheets that fall into the Difference category would have been reviewed.
