How to Create an Invoice Batch


To create an invoice batch, follow the procedure below.

How to Create an Invoice Batch

1.

Navigate to Billing > Invoice Batch.
The Invoice Batch screen opens.

If you need to generate invoices for a country other than your default country, select the relevant country name in the Country field in the search header at the top of the screen. Otherwise, skip this step.

If you need to generate invoices for one specific billing company only, select the name of that billing company in the Billing Company field in the search header at the top of the screen. Otherwise, skip this step.

If the cut-off date for including timesheets in the invoice batch is to be a date other than today’s date, click within the Time Group Date field and select the relevant cut-off date.

Skip this step if the cut-off date is to be today’s date.

5.

Click Search.
The results list is populated with invoice batch groups that match the selected search criteria.

In the result list, locate the invoice batch group you want to include in the invoice batch and click the checkbox at the start of the row that corresponds to the relevant invoice batch group.

The checkbox is ticked to indicate that the invoice batch group is selected.

Click View next to the invoice batch group that you selected at step 6.

The Invoice Batch Group screen opens, showing a list of debtors who are part of the invoice batch group. By default, a tick is displayed against each debtor in the results list if there are more timesheets that are ready to be billed to the debtor.

By default, a tick is displayed in the checkbox against a debtor’s name in the results list if there are timesheets that are ready to be billed to that debtor. If you do not want to create invoices/credit notes for a debtor that has timesheets that are ready to be billed, click the checkbox next to the debtor’s name to un-tick the checkbox.

Repeat steps 6-8 if you want to include other invoice batch groups in this invoice batch.

10.

If the invoice issue date of the invoices/credit notes to be created by the invoice batch is to be a date other than today’s date, click within the Invoice Date field and select the relevant date.

Skip this step if the invoice date is to be today’s date.

11.

Click Create Invoice Batch.
A confirmation message opens, prompting you to confirm the creation of the invoice batch.

12.

To continue to create the invoice batch, click Yes.
The confirmation message closes and the invoice batch is created and the invoices/credit notes created by the invoice batch are ready for delivery to the relevant debtors.

At step 8 in the procedure above you can also click View next to any of the debtors that are listed on the Invoice Batch Group screen to display information about the timesheets that are ready to be invoiced for the corresponding debtor.
