SMS

Within Recruitment Manager a function is available to send individual or bulk SMS messages. The 'SMS' field must be ticked in a Candidate / Client Contact record's 'Privacy' section to enable this action for the individual.

Where the 'SMS' field has not been ticked and a user has Security Permission, an option is available to ignore the setting and send the message if required.

Please be aware that effective 14 July 2023, Agencies that use SMS Central will no longer be able to send messages to the following Countries:

Aland Islands; Antigua and Barbuda; Bangladesh; Belize; Benin; Bermuda; Cambodia; Diego Garcia; Ecuador; French Antilles Martin; French Guiana; Guadeloupe; Guinea; Guinea-Bissau; Haiti; Holy See (Vatican City State); Iran, Islamic Republic of; Iraq; Kazakhstan; Kosovo; Malawi; Martinique; Mayotte; Mongolia; Myanmar; Netherlands Antilles; Niger; Palau; Papua New Guinea; Reunion; Rwanda; Saint Kitts and Nevis; Saint Lucia; Somalia; United States Minor Outlying Islands; Zambia.

This restriction has been imposed to protect your Agency from malicious threats via methods like autobots, artificially inflated messaging, account takeovers and weak password protection.

Send a single SMS message:

Within a record such as the Client Contact record, click on the Contact's mobile number.

The SMS screen is displayed.

Where the recipient's 'SMS' field has not been ticked, a link to the 'Opt Out Recipient List' is displayed. To send the message to the opt out recipient, see 'To send a SMS to 'opt out' recipients.'

To use a SMS template, click on the select template icon and select the template required.

To apply merge fields, select the merge tag icon and click on the items required.

Selected merge fields selected display in the message body.

Enter the message body in the Message field. Where a template has been applied, the details can be edited if required.

To add a comment, tick Comment and update the fields provided.

To preview the message select Preview.

To send the SMS, select Send.

Where a message is responded to, the response is delivered by email to the sender.

The response message will also be automatically added to the Communications History list in Received Communication in the record of the Contact / Candidate that has sent the response.

Send a Bulk SMS Message

Navigate to a search screen and run a search to find the list of Client Contacts or Candidates that need to be messaged. See Searching for details.

In the left hand side of the result list, tick the recipients required (or tick at the top of the list to select all). Where you wish to use filters, ensure you only tick recipients after you have applied filters to the list.

The Bulk SMS action is editable.

From the list select Bulk SMS.

The SMS message screen is displayed.

Follow the steps described in To send a single SMS message above to complete the process.

Where one or many recipient's 'SMS' fields have not been ticked, a link to the 'Opt Out Recipient List' is displayed. To send the message to opt out recipients, see 'To send a SMS to 'opt out' recipients.'

Send an SMS to 'Opt Out' recipients

Follow the steps in 'To send a single SMS message' or 'To send a bulk SMS message' as required, to display the SMS screen.

The SMS message screen is displayed.

Where one or more recipients have opted out to receiving SMS, an 'Ignore' tickbox is displayed. A link to an 'Opt Out Recipient List' is also displayed. Select to view the list details.

Select the Ignore tickbox.

The 'Opt Out Recipient List' Candidates / Client Contact details are inserted into the 'Mobile Number' field.

Follow the steps described in in 'To send a single SMS message' or 'To send a bulk SMS message' to compile and send the message.
