How to Create an Unpaid Break Rule

To create an unpaid break rule, follow the procedure below.

1.

If not already open, open a pay agreement in the Pay Agreement Entry screen.

Scroll down to the Primary Interpretation section and click the open button.

The Primary Interpretation section of the screen expands.

Click the existing primary interpretation header to which the midnight boundary rule is to be added.

The Primary Interpretation Header, Time Rounding Rule, Midnight Boundary Rules and Unpaid Breaks options are displayed, as shown in the example below.

Click the Add button to the right of Unpaid Break Rules.

The Unpaid Break Rules Entry page displays.

In the New Midnight Rule Entry page, type or select the relevant information as required.

Break At Time

If selected, indicates the unpaid break rule defines a break at a specific time of the day rather than after a specific number of hours/minutes of continuous work.

If this option is selected, a Break At Time field is displayed beneath the Name field, in which you must specify the time of day at which the break is to begin (for more information, see below).

Break After X Hours

If selected, indicates the unpaid break rule defines a break after a specific number of hours/minutes of continuous work rather than at a specific time of day.

If this option is selected, the Break After Hours, Break After Minutes, Limit Occurrences To and Exclude Break Duration fields are displayed (for more information, see below).

Name

Descriptive name of the unpaid break rule. This must be unique for the primary interpretation header to which the rule belongs.

Break At TimeTime of day at which the unpaid break starts. To select a time, click  and choose the relevant time from the list of options.

This field is unavailable unless the Break At Time option is selected at the top of the pane.

Break After Hours

Number of continuous hours work after which the unpaid break starts. For example, typing a value of 4 in this field indicates that the break begins after four continuous hours of work on a given day.

Note that you can key in whole hours in this field only. If a break is to occur after a number of hours and minutes, type the number of minutes in the Break After Minutes field (for more information, see below). Leave this field blank if the break is to begin after less than an hour of work.

This field is unavailable unless the Break After X Hours option is selected. 

Break After Minutes

Number of continuous minutes of work after which the unpaid break starts. This field is used in conjunction with the Break After Hours field. For example, if a break is to occur after 4.5 hours, type 4 in the Break After Hours field and type 30 in this field. Leave this field blank if the break is to begin after a whole number of hours.

This field is unavailable unless the Break After X Hours option is selected.

Break Length (Minutes)

Duration of the break, in minutes.

Limit Occurrences To

Determines the maximum number of unpaid breaks that can occur within a single shift. For example, when set to a value of 2, a maximum of 2 unpaid breaks will be applied to any shift to which the unpaid break rule is applicable.

This field is unavailable unless the Break At Time option is selected at the top of the pane.

Variance (Minutes)

Variance, in minutes, that applies to start and end times of the unpaid break. If a break keyed against a timesheet falls within the variance threshold, the timesheet break will be applied and the break defined by the unpaid break rule will be ignored.

Exclude Break Duration

If ticked, the duration of each previous unpaid break during a shift will be excluded when the system calculates the point at which the next unpaid break begins. That is, each consecutive unpaid break will be applied X hours/minutes after the end of the previous unpaid break during the same shift.

If un-ticked, the duration of each previous unpaid break during a shift will be included when the system calculates the point at which the next unpaid break begins. That is, each consecutive unpaid break will be applied X hours/minutes after the start of the previous unpaid break during the same shift.

This field is unavailable unless the Break At Time option is selected at the top of the pane.

Shift Day Types

Work day(s) to which the unpaid break applies. If the unpaid break rule is to apply to one or more specific work days, click the relevant days so that each relevant day displays a tick. Alternatively, click Week Day to select all week days and/or Weekend to select all weekend days.

If the unpaid break is to apply to specific holidays, do not select any options in this field. Instead, select the relevant holidays in the Holiday Types field.

Shift Types

The types of shifts to which the unpaid break applies. To select the shift types to which the unpaid break will apply, click  and use the Select Shift Types screen to select the relevant shifts.

Holiday Types

Lists the valid holidays on which the unpaid break may occur. If the unpaid break rule is to apply to one or more specific holidays, click the relevant holidays so that each relevant holiday displays a tick.

If the unpaid break is to apply to regular work days and not holidays, do not select any options in this field. Instead, select the relevant day(s) of the week in the Shift Day Types field.

 

6.

Click Save.

A confirmation message opens, indicating the agreement has been saved successfully.
