Notification Maintenance

The Time and Attendance module can be configured to send automatic notifications to users to communicate information about timesheets. Notifications are used within a timesheet workflow to determine the type of messages that are sent to participants of a timesheet workflow depending on the actions that affect a timesheet. Therefore, if notifications are required to be sent as part of a timesheet workflow, the relevant notifications must be configured before the relevant timesheet workflow is configured.

If notifications are to be sent as part of a timesheet workflow, the relevant notifications must be configured prior to configuring the timesheet workflow itself because it will be necessary to select the relevant notifications as part of the timesheet workflow configuration.

However, it is not mandatory to send notifications as part of a timesheet workflow. A Do Not Send option can be selected for each notification type that can be sent as part of a timesheet workflow if notifications are not required. Timesheet workflows are configured in Recruitment Manager > Setting > Maintenance > T/S Workflow.

There are two basic types of notifications; scheduled notifications and immediate notifications.
Scheduled notifications are notifications that are schedule to be sent at specific times. Scheduled notifications have the following sub-types:

  • reminder - sent to timesheet submitters and approvers as a reminder to submit or approve timesheets by a certain time/date respectively

  • escalation – sent to an alternative approver if the usual approver has not approved or rejected a timesheet within a specific amount of time after being submitted.

Scheduled notifications can be configured to reoccur until the corresponding timesheet is submitted or approved/rejected.

Immediate notifications are notifications that are sent immediately when a specific event occurs. Immediate notifications have the following sub-types:

  • rejected – sent to the person who submitted a timesheet (timesheet initiator) when an approver rejects the timesheet

  • approved – sent to the timesheet initiator when an approver approves a timesheet that the initiator has submitted

  • recalled – sent to an approver when a timesheet that has been awaiting their approval has been recalled by the timesheet initiator or an approver for an earlier stage of the timesheet approval process.

Notifications can be delivered via one or more of the following delivery methods:

  • email – an email message is sent to the email address of the relevant recipient

  • SMS – an SMS is sent to the relevant recipient's mobile telephone

  • message – a notification is sent within the Time and Attendance system to the relevant recipient.
