FastTrack Payee Onboarding

This page gives you a quick outline of all the key info you need to know as a payroll manager using the new FastTrack360 Payee Onboarding feature. This includes:

  1. How to find payees that have recently been created via Payee Onboarding

  2. What checks you need to do before paying a new payee

  3. What happens when a candidate adds a super fund you don’t have in your FastTrack360 environment

1. How To Find Onboarded Payees

To find out which payee records have been created recently via the onboarding process, go to the Reporting module, and run the report called ‘Payee Onboarding Report’ (additionally, we can schedule delivery of this report for you if you prefer). All payees created via the onboarding process have a default Employment Type of ‘Payee Onboarding Change Me’. Any payee with that Employment Type will be included on the report.

Go to the Payroll module, and Payee Search. On the second tab, called Payroll Details, you can search by Employment Type: Payee Onboarding Change Me.

2. What Checks You Need To Do

Open the payee you want to update.

Payee Entry HEADER: check the Employment Date is correct (this defaults to the date the onboarding was completed). Ensure this date aligns with the start date of the job order (if payee already assigned to a job order). Tax Details: review to ensure all is displaying as expected.

EMPLOYMENT DETAILS: check / update these fields as required. Pay Group needs to be selected. Employment Type MUST be changed to the relevant selection. On the Attachments tab, you will find the Super Choice Form that you can open if required.

PAYSILP DETAILS: Check Payslip Delivery Method and Payslip Format Group are correct.

SUPERANNUATION DETAILS: review to ensure all is correct.

BANKING DETAILS: review to ensure all is correct.

To complete, save the payee record.

Once the payee record has been saved with the new Employment Type, the record will no longer appear on the Payee Onboarding report.

3. What Happens If The Payee’s Super Fund Doesn’t Exist In FastTrack360

If the super fund does not exist in your FastTrack environment, the super fund name will display as ‘ChangeMe’. Please open the Super Choice Fund from the Header Attachments tab and follow your normal process to create the super fund in Payroll Maintenance.

Once completed, come back to the Payee record, and fill out the appropriate details. (Note: if the policy number was provided, on change of super fund selection, the policy number will remain.)
