How to Adjust a Payee's Banked Leave Accrual

Accruals of leave that is configured to accrue hours with an accrual rate (apply to type of hours with rate) can be adjusted at the Banked Leave Accruals pay batch stage.

When a payee automatically accrues leave at the Banked Leave Accruals pay batch stage the system negates payment for the hours that have been accrued from the payee’s gross earnings in the pay batch. This allows the payment of the leave to be banked and paid when the leave is actually taken. However, if a manual adjustment is made to the accrual amount the system does not automatically recalculate the reduction in the payee’s gross earnings to factor in the adjustment.

Therefore, if a manual adjustment is made to the accrual amount, the payee’s gross earnings in the pay batch may need to be manually adjusted to factor in the manual accrual adjustment.

On the Pay Wizard – Banked Leave Accruals screen, click the View button next to the relevant payee.

The Payee Pay Details screen opens, with the Banked Leave Accruals section expanded.

Click on the row in the list that represents the leave type that is to be adjusted.

The row expands to show accrual details of the leave type in the pay batch, including the job order number of the job against which the leave was accrued (if applicable), the client who owns the job order against which the accrual occurred (if applicable) the amount of leave that was automatically accrued in the pay batch, the pay rate that applies to the accrual and the cost of the accrual. An Accrual Adjustment field is also displayed.

In the Accrual Adjustment field, key in the amount by which you want to increase or decrease the leave accrual in this batch. For example, key a value of 2 if you want to increase the accrual by amount by 2 or key -2 if you want to decrease the accrual by a value of 2.

Skip this step and proceed directly to the next step if you want to adjust the accrual rate only.

In the Rate field, change the rate value if you want to increase or decrease the accrual rate.

Skip this step if you do not want to change the accrual rate.

 

5.

Click Save.

A confirmation message is displayed at the top of the screen to indicate that your changes have been saved.

Click Exit to close the Payee Pay Details screen.
