Adding a Work Schedule (Payroll NZ)

Where a payee is eligible to take paid leave while not placed in a job, the payee's work schedule is used to determine if the payee is normally scheduled to work on the day they have taken leave and the number of hours they are normally scheduled to work on that day.

This ensures that the payee does not get paid for taking leave on a day on which they do not normally work and that they are not paid for taking leave in excess of the hours they are normally scheduled to work on a given day.

The system refers to the work schedule on the payee record only when processing the payment of leave that falls on a date during which the payee is not placed in a job. If the payee takes leave while placed in a job, the system refers to the job schedule on the relevant job order to check if the payee is scheduled to work on the corresponding day and the number of hours they are scheduled to work on that day.
It is not mandatory to define a work schedule on a payee record. If defined, a payee's work schedule can be modified if necessary so long as the payee is not currently included in an open pay batch.
However, once the payee has been paid (included in a closed pay batch) their work schedule details are locked down for the corresponding payee details validity period and cannot be modified for that period. If you need to modify a payee's work schedule after the payee has been paid in one or more pay batches, you must create a new payee details validity period.

How to Add a Work Schedule

To add a work schedule, follow the procedure below.

If you do not already have the relevant payee record open in the Payee Entry screen, search for and open the relevant payee record in edit mode.

Navigate to the Payee Details > Work Schedule section of the Payee Entry screen.

Next to the Start Time field for the relevant day of the week, click the clock button and select the time of day at which the payee's paid working hours normally begin on the corresponding day of the week.

Next to the End Time field for the relevant day of the week, click the clock button and select the time of day at which the payee's paid working hours normally finish on the corresponding day of the week.

Next to the Break Start Time field for the relevant day of the week, click the lock button and select the time of day at which the payee is normally scheduled to begin an unpaid break on the corresponding day of the week.

Next to the Break End Time field for the relevant day of the week, click the clock button and select the time of day at which the payee is normally scheduled to end an unpaid break on the corresponding day of the week.

 

7.

Repeat steps 3-6 for each day of the week that the payee is normally scheduled to work, ensuring you select the correct start and end times for each respective day. Note that you can click the Copy button to copy the schedule from the previous day of the week instead of selecting each start and end time manually for day.

 

8.

At the top of the Payee Entry screen, click Save.

The changes you have made are saved.
