Pay Code Group Maintenance

Pay Code Groups are utilised in either the Payroll Module or the Rates & Rules Module. In Version 12, the configuration of Pay Code Groups for Payroll and Rates & Rules has been combined into one maintenance area located in Rates & Rules > Maintenance > Pay Code Group. Pay Code Groups are now differentiated by the following types:

  • Rates & Rules

  • Payroll

In the Rates and Rules > Maintenance > Pay Code Group area, you can do the following:

  • create new pay code groups

  • search for and list existing pay code groups

  • edit existing pay code groups

  • delete unused pay code groups that are not required.

Pay Code Group Type - Rates & Rules

Pay code groups of type Rates & Rules represent a collection of pay codes or pay code types. Actions on a pay code rule, which is defined as part of a pay agreement, can be limited based on the range of pay codes that belong to a pay code group.

Before actions on a pay code rule can be limited based on a pay code group, the relevant pay code group or groups must be configured in Rates and Rules > Maintenance > Pay Code Group.

Each pay code group belongs to a country and therefore when an action on a pay code rule is configured, the action can only be limited according to pay code groups that belong to the country to which the pay agreement belongs.

Each pay code group must have a descriptive name that is unique within the country to which the pay code group corresponds and must include one or more pay codes or pay code types. A single pay code group cannot group individual pay codes as well as pay code types.

Once a pay code group has been created, its name and the pay codes or pay code types that are part of the pay code group can be edited if necessary. However, you cannot assign the pay code group to a different country and any changes you make will only apply to those timesheets that are interpreted against any pay agreement that uses the pay group after the changes are applied to the pay code group.

Pay Code Group Type - Payroll

Pay code groups of type Payroll are used in the Payroll module to define the earnings that are subject to various wage costs. For example, where a wage cost applies to ordinary time earnings only, a pay code group can be created to group all pay codes under which ordinary time earnings are paid.

Pay code groups are used in the following areas:

  • in deduction headers to determine the subset of earnings based on which deductions that deduct a percentage of gross earnings are to be calculated.

  • AU Payroll - in payroll tax maintenance to determine which earnings are subject to payroll tax in a given payroll tax state

  • AU Payroll - in WorkCover maintenance to determine the earnings that are subject to WorkCover in a given WorkCover state

  • AU Payroll - in superannuation contribution rate rules to determine which earnings are subject to employer superannuation accruals

  • AU Payroll - in employee benefit rate type rules to determine which earnings are subject to employee benefit scheme accruals

  • NZ Payroll - in KiwiSaver employer contribution rate maintenance to determine which earnings are subject to KiwiSaver employer contributions

  • NZ Payroll - in ACC employer levy maintenance to determine which earnings are subject to the ACC employer levy

  • NZ Payroll - in PAYG leave maintenance to determine which earnings are included in PAYG leave payment calculations

Therefore, the relevant pay code groups should be created before you attempt to configure any of the abovementioned maintenance items.

Each pay code group record can define one or more groups of pay codes, whereby each group of pay codes has a validity period with a start date and an end date. Where the list of pay codes to which a wage cost applies will change at a certain point in time, the list of the relevant pay codes can be configured in advance and the system will automatically use the set of pay codes that is valid on the end date of the pay batch. When you create a new pay code group, at least one validity period must be defined. You can add more validity periods to an existing pay code group at any time.
