Edit Leave Request Screen

The Edit Leave Request screen allows you to edit leave requests that have been created on behalf of a payee and have been saved but are not yet approved. Such leave requests have a status of Pending.

Using the Edit Leave Request screen you can do the following with a pending leave request:

  • change the absence type to which the leave request corresponds

  • absence start and end times for individual days within the leave request

  • remove individual days from the leave request

  • view comments that have been added to the leave request or add comments if necessary

  • view the history of the leave request

  • add attachments to the leave request, such as medical certificates

To display the Edit Leave Request Screen, navigate to Candidate or Leave > Leave Request screen and click on a leave request that appears in the Leave Request List.

Status

Displays the current status of the leave request. This can be any of the following:

  • Submitted - indicates that the leave request has been submitted by a payee and is awaiting approval.

  • Pending - indicates that the leave request has been created on behalf of a payee and is yet to be approved.

  • Approved - indicates that the leave request has been approved and requires no further action.

  • Rejected - indicates that a payee has submitted the leave request for approval but an approver has rejected it.

  • Cancelled - indicates that the leave request has been cancelled and requires no further action.

Start Date

Allows you to select a new date on which the absence from work commences. Click within this field and use the calendar control to select the relevant date.

This field is only available when the leave request is in edit mode and the Reset Initial Data is invoked to reset the leave request information.

Shift Start Time

Allows you to key in a new time of day on which the absence commences. This must be specified in 24 hour format (e.g. 09:00 for 9 am, 22:30 for 10:30 pm).

If the absence spans multiple days and the payee does not normally commence work at the same time on each of those days, key in the time the payee normally commences work on the first day on which the absence begins. You will be able to adjust the start and end time of the absence for each individual day of the leave request once you populate the leave calendar.

This field is only available when the leave request is in edit mode and the Reset Initial Data is invoked to reset the leave request information.

Shift End Time

Allows you to key in a new time of day on which the absence concludes. This must be specified in 24 hour format (e.g. 09:00 for 9 am, 22:30 for 10:30 pm).

Request Date and Time

If the leave request was submitted by a payee, this field displays the date and time that the payee submitted the leave request for approval.

If the leave request was created by a leave proxy or leave administrator on behalf of a payee, this field displays the date and time the leave request was approved or displays blank if the leave request is yet to be approved.

Proxy

Displays a tick if the leave request was created on behalf of a payee by a leave proxy.

Payment State

Displays the current payment state of the leave request. This can be any of the following:

  • Processed - the leave request has been processed in a pay batch and has been paid in full.

  • Partially Processed - the leave leave has been processed in a pay batch and has been partially paid (i.e. one or more days of the leave request were unpaid).

  • Not Processed - the leave request has been processed in a pay batch and the entire leave request was unpaid.

  • Pending - the leave request is yet to be processed in a pay batch.

  • Cancelled in Pay Batch - payment of the entire leave request was cancelled at the Leave Payments stage in a pay batch.

  • Partially Cancelled in Pay Batch - payment of the leave request was partially cancelled at the Leave Payments stage in the a pay batch (i.e. payment for one or more days was cancelled in the pay batch).

Payee

Displays the name and payee number of the payee to whom the leave request corresponds.

For Weekdays Only

When ticked, if any weekend days (Saturdays or Sundays) fall between the start and end dates of the leave request, the weekend days will not be included in the leave request when the  action is invoked to populate the leave calendar.

This field is only available when the leave request is in edit mode and the Reset Initial Data is invoked to reset the leave request information.

End Date

Allows you to select a new date on which the absence from work concludes. Click within this field and use the calendar control to select the relevant date.

Auto-Approved

Displays a tick if the leave request has been automatically approved because it has been automatically created from an absence item on a timesheet, which has been approved by a timesheet approver.

Approver

Displays the name of the user who approved the leave request or displays blank if the leave request is yet to be approved.

Absence Type

Displays the type of leave to which the leave request corresponds.

If the status of the leave request is Pending, you can change the absence type of the leave request if necessary by clicking Edit and then selecting a different option from this field.

Action

Description

Enables edit mode, thereby allowing you to do the following:

  • change the absence type of the leave request

  • delete days from the leave request in the leave calendar

  • change the start or end time of any leave day in the leave calendar

  • add comments to or remove comments from the leave request

  • attach files to the leave request or remove attached files from the leave request.

This action is only available if the current status of the leave request is Pending.

Changes the status of the leave request to Cancelled, thereby indicating that the leave will not or has not been taken.

This action is unavailable if the current status of the leave request is Submitted, which indicates that a payee has submitted the leave request on their own behalf. Where this is the case, to cancel the leave request you must first reject the leave request, which will allow the payee to then cancel the request if necessary.

If you are a leave proxy you may not have permission to cancel a leave request once the leave request has been approved and paid (i.e. when the leave request status is Approved and the payment state is Processed or Partially Processed). If you are a leave administrator, you can cancel a leave request even after it has been paid if necessary.

If a processed (paid) leave request is cancelled and the leave items have already been paid, manual items will need to be processed via the Pay module in order to reverse the payments.

Saves any changes that have been made to the leave request and exits edit mode.

This action is only available while the leave request is in edit mode.

Exits edit mode without saving any changes to the leave request.

This action is only available while the leave request is in edit mode.

Sets the status of the leave request to Approved and, depending on how your system is configured, sends an email or SMS notification to the payee on whose behalf the leave request has been created to notify them that the leave request has been approved.

This action is only available if the current status of the leave request is Pending or Submitted.

Changes the status of the leave request to Rejected and, depending on how your system is configured, sends an email or SMS notification to the payee to inform them that their leave request has not been declined.

This action is only available if the leave request has been submitted by a payee and its current status is Submitted.

Displays the the Leave Policy Information popup, which displays any leave policy information that you might need to be aware of before approving a leave request for the corresponding absence type.

Populates the Leave Calendar section of the screen based on the start and end date of the leave request and shows the absence start and end times for each day of absence. This allows you to adjust the absence start and end times for individual leave days if necessary.

This action is only available when the leave request is in edit mode.

Clears the Leave Calendar section of the screen and allows the leave request start and end date and the shift start and end time to be selected from scratch.

This action is only available when the leave request is in edit mode.
