Leave Request New Entry Screen

The Leave Request New Entry screen allows you to create leave requests on behalf of a payee. To display the Leave Request New Entry Screen, navigate to Candidate or Agency Portal > Leave > Leave Request and click Add.

Payee

Name of the payee on whose behalf you are creating the leave request.

To select the payee, click the search button and use the Payee Lookup screen to search for and select the relevant payee.

This is a mandatory field.

Absence Type

The type of leave that is being taken by the payee.

Start Date

The date on which the absence from work commences. Click within this field and use the calendar control to select the relevant date.

This is a mandatory field.

End Date

The date on which the absence from work concludes. Click within this field and use the calendar control to select the relevant date.

This is a mandatory field.

Shift Start Time

The time of day on which the absence commences. This must be specified in 24 hour format (e.g. 09:00 for 9 am, 22:30 for 10:30 pm).

If the absence spans multiple days and the payee does not normally commence work at the same time on each of those days, key in the time the payee normally commences work on the first day on which the absence begins. You will be able to adjust the start and end time of the absence for each individual day of the leave request once you populate the leave calendar.

Shift End Time

The time of day on which the absence concludes. This must be specified in 24 hour format (e.g. 09:00 for 9 am, 22:30 for 10:30 pm).

If the absence spans multiple days and the payee does not normally finish work at the same time on each of those days, key in the time the payee normally finishes work on the first day on which the absence begins. You will be able to adjust the start and end time of the absence for each individual day of the leave request once you populate the leave calendar.

This is a mandatory field.

For Weekdays Only

When ticked, if any weekend days (Saturdays or Sundays) fall between the start and end dates of the leave request, the weekend days will not be included in the leave request.

Leave this field ticked if the payee does not normally work weekends and therefore the leave is for week days only.

Action

Description

Sets the status of the leave request to Pending and saves it without approving it. This action is only available once all of the mandatory information that is required to create the leave request has been specified.

Saving a leave request allows you to save the information you have captured without approving the leave request. This is useful if you need to check the details of the leave request before you approve. You must also save the leave request first if you want to do any of the following:

  • add comments to the leave request

  • add attachments, such as medical certificates, to the leave request.

Sets the status of the leave request to Approved and, depending on how your system is configured, sends an email or SMS notification to the payee on whose behalf the leave request has been created to notify them that the leave request has been approved.

This action is only available once all of the mandatory information that is required to create the leave request has been specified.

Sets the status of the leave request to Cancelled, thereby preventing it from being actioned any further. For example, if the leave request has been created in error it can be cancelled to prevent it from being approved and paid.

Displays the the Leave Policy Information popup, which displays any leave policy information that you might need to be aware of before approving a leave request for the corresponding absence type.

Populates the Leave Calendar section of the screen based on the start and end date of the leave request and shows the absence start and end times for each day of absence. This allows you to adjust the absence start and end times for individual leave days if necessary.
