Viewing the Timesheet Import Batch Audit Information

The Batch Audit screen allows you to view the details of successfully processed Timesheet Import batches that have a status of Completed or Completed with Exceptions. To display the Batch Audit screen, click Download/Open > Open Batch Audit next to the relevant Timesheet Import batch in the Batch List on the Time and Attendance > Timesheet Import > Manage Import Batches screen.

The Batch Audit screen consists of the following components:

  • a header that displays information about the import batch itself

Batch ID

Displays the unique batch number of the batch.

Status

Displays the processing status of the batch (Completed or Completed with Exceptions)

Start Date

Displays the date and time when the batch was created.

End Date

Displays the date and time when processing of the batch was completed.

Timesheets in Batch

Displays the total number of timesheets that were included in the original import file.

Timesheets Imported

Displays the number of timesheets that were imported successfully.

Exceptions

Displays the number of timesheets that caused exceptions and therefore could not be imported.

Leave Request Warnings

Displays the number of warnings that were generated in the Exceptions Report because of timesheet items in the import file clashing with approved leave request items.

Created By

Displays the username of the user who created the batch.

Imported By

Displays the username of the user who queued the batch for processing.

Imported Filename

Displays the filename of the original import file.

Source

Displays the source of the original import file, if a source was specified when the batch was created.

  • a list of the timesheets that were successfully imported by processing the batch

Parent

Displays the name of the parent client organisation to whom the listed timesheet corresponds.

Client

Displays the name of the client to whom the listed timesheet corresponds.

Cost Centre

Displays the name of the client cost centre (site) to which the listed timesheet corresponds.

Department

Displays the name of the client department to which the listed timesheet corresponds.

Job Order Contact Surname

Displays the family name of the client contact who is the contact person for the job order to which the listed timesheet corresponds.

Job Order Contact First Name

Displays the given name of the client contact who is the contact person for the job order to which the listed timesheet corresponds.

Job Order No.

Displays the job order number that identifies the job order to which the listed timesheet corresponds.

Job Position

Displays the name of the job position to which the listed timesheet corresponds.

Candidate No.

Displays the candidate number that uniquely identifies the candidate to whom the listed timesheet corresponds.

Payee No.

Displays the payee number that uniquely identifies the payee to whom the listed timesheet corresponds.

Payee Surname

Displays the family name of the payee to whom the listed timesheet corresponds.

Payee First Name

Displays the given name of the payee to whom the listed timesheet corresponds.

Timesheet Start Date

Displays the start date of the work period to which the listed timesheet corresponds.

Timesheet End Date

Displays the end date of the work period to which the listed timesheet corresponds.

Job Order Start Date

Displays the start date of the job order to which the listed timesheet corresponds.

Job Order End Date

Displays the end date of the job order to which the listed timesheet corresponds.

PO Number

Displays the purchase order number to which the listed timesheet corresponds.

Owner Staff

Displays the username of the agency staff member who is the owner of the job order to which the listed timesheet belongs.

Order Staff

Displays the username of the agency staff member who created the job order to which the listed timesheet belongs.

Filled Staff

Displays the name of the agency staff member who filled a candidate in the job order to which the listed timesheet belongs.

Client Position

Displays the name of the job position to which the listed timesheet belongs, as referred to by the client.

 

The number of timesheets that are listed in the Batch Audit screen may not match the number of timesheets that were originally imported successfully. For example, a timesheet that was originally imported can be rejected by an approver, cleared and then expired in the Time and Attendance module and will therefore no longer appear in the list of available timesheets.

The details of an imported timesheet may also have changed since the timesheet was originally imported and may therefore no longer exactly match with the details of the timesheet that were current at the time of import. For example, since a timesheet was imported the corresponding job order may have been extended and therefore the job order end date that is shown for the timesheet in the Batch Audit screen will be different to the job order end date that may have been specified in the original import file.


You can perform the following actions from the Batch Audit screen:

  • download a copy of the original import file by clicking the Download Import File button

  • if at least one timesheet was created successfully, you can download the validation report by clicking the Download Validation Report button

  • if there were any exceptions or leave request warnings, you can download the exception report by clicking the Download Exception Report button.
