Hierarchy Group Maintenance

A hierarchy group is an additional, customisable category that can be used in conjunction with hierarchy levels and hierarchy values to match the following entities when paying and billing job orders:

  • pay agreements

  • pay rate rules on pay agreements

  • bill agreements

  • bill rate rules on bill agreements

  • bill oncosts

  • holiday rules.

For example, in addition to being assigned to an agreement hierarchy level and hierarchy value, a pay agreement may also be assigned to a hierarchy group. To determine which pay agreements can be assigned to a job order, the system searches the agreement hierarchy based on a combination of hierarchy level, hierarchy value and hierarchy group to find a matching pay agreement.

If a match is not found based the combination hierarchy level, hierarchy value and hierarchy group, the system will perform a second parse of the hierarchy for a match based on hierarchy level and hierarchy value only.

This provides additional flexibility to classify and apply agreements, rate rules, oncosts and holiday rules based on a customisable grouping if matching by a combination of agreement hierarchy level and hierarchy value is insufficient.

Hierarchy groups cannot be assigned to standard rates. However, hierarchy groups can be assigned to the oncosts that apply to pay and bill results, which are generated when a standard rates-based job is paid and billed.

If your business requires the use of hierarchy groups, you must create the relevant hierarchy groups in Agency Portal > Rates and Rules > Maintenance > Hierarchy Group. Once hierarchy groups have been created, they can be selected from a drop down list on the records that are listed above. However, each hierarchy group must be assigned to a country and hierarchy groups can only be assigned to a country if the hierarchy group functionality is enabled for that country in Maintenance > Hierarchy > Country > Hierarchy Group. Therefore, before you attempt to create hierarchy group, ensure that hierarchy group functionality is enabled for the relevant country before attempting to create a hierarchy group.

To create a hierarchy group, you must specify the following:

  • the name of the hierarchy group as it is to appear in dropdown lists wherever a hierarchy group can be assigned on a record

  • the country to which the hierarchy group belongs (note: a hierarchy group can only be assigned to a record that belongs to the same country as the hierarchy group)

  • the sort order that defines in which order the hierarchy group appears in dropdown lists wherever a hierarchy group can be assigned on a record.
