Unapproved Leave Request Warning

Description

When a timesheet initiator attempts to submit or approve a timesheet in Time and Attendance or Mobile Timesheets, a warning is now displayed if there is a submitted, unapproved leave request that falls within the date range of the timesheet and is linked to the same candidate to which the timesheet corresponds. The warning message gives the timesheet initiator the option of cancelling the action or continuing the action, as shown in Figure 1 below.

A leave request cannot be submitted or approved once the corresponding timesheet has been submitted or approved (i.e. the timesheet status is anything other than Available, Incomplete or Rejected).

Therefore, if the timesheet initiator chooses to continue to submit/submit and approve the timesheet, the outstanding leave request cannot be approved by a leave administrator unless the following is done depending on the status of the timesheet:

  • Timesheet status is Submitted - the timesheet initiator can recall the timesheet or a timesheet approver can reject the timesheet. This changes the status of the timesheet to Incomplete or Rejected respectively, thereby allowing the leave request to be submitted and approved.

  • Timesheet Status is Released:

    • If the timesheet is yet to be paid or billed, the timesheet can be reversed from the Interpreter. That changes the status of the timesheet to Incomplete, thereby allowing the leave request to be submitted and approved.

    • If the timesheet has already been paid or billed, an adjustment timesheet must be created and saved from the Historical timesheet list in Time and Attendance. When the adjustment timesheet is saved, its status is set to Incomplete, thereby allowing he leave request to be submitted and approved.

 

The warning is displayed when a timesheet initiator attempts to submit or submit and approve when a timesheet is open in the Timesheet Entry screen in Time and Attendance or Mobile Timesheets. The warning is also displayed in Time and Attendance when a timesheet initiator attempts to submit or to approve timesheets directly from the following list screens:

  • Incomplete Timesheets

  • Bulk Timesheets.

Benefits

This enhancement compliments changes made in this release that allow leave requests to be submitted and approved after a timesheet has been initiated. Because a leave request cannot be approved if the corresponding timesheet has already been submitted or approved, by warning the timesheet initiator of unapproved leave requests the timesheet initiator can delay submitting or approving the timesheet until the unapproved leave request has been actioned.
