Description

To facilitate the delivery of invoices via eInvoicing, the following enhancements have been made to the Billing > Manage Delivery screen:

  • the Delivery Method field in the Search section of the screen now includes an eInvoicing option so that you can search for closed invoices where the applicable set of debtor invoice details specify eInvoicing as the required invoice delivery method (for more information, see Debtor Delivery Details Enhancements)

  • the Delivery Method column in the Results section of the screen now displays eInvoicing where that is the applicable delivery method for the listed invoice

  • a Deliver as eInvoice button has been added to allow delivery of invoices that have a delivery method of eInvoicing (for more information, see Delivering eInvoices below).

These changes are highlighted in the example below.

Delivering eInvoices

  • FastTrack360 sends an electronic version of the invoice to Attache …

  • the Delivered flag for the selected invoice is set to Yes to indicate that delivery of the invoice has been actioned in FastTrack360

  • an entry is written to the Invoice Log to record the fact that a user actioned the delivery of the invoice from FastTrack360 (for more information, see Invoice Log Enhancements)

  • the eInvoicing Status is initially set to Submitted to indicate that the invoice has been sent and FastTrack360 is waiting for a response to determine if delivery has been successful (for more information, see eInvoicing Status below).

eInvoicing Status

The table below lists and describes the eInvoicing statuses that can apply.

Status

Description

Submitted

Indicates that a user has actioned the delivery of the invoice and FastTrack360 has sent the invoice but a success or failure response has not been received yet.

When the delivery of an invoice is actioned in FastTrack360 and the eInvoicing status of the invoice is set to Submitted, it may take several minutes for the status to update to OK or Error …

OK

Indicates that a user has actioned the delivery of the invoice, FastTrack360 has sent the invoice and a success response has been received to indicate that delivery was successful and therefore no further action is required to deliver the invoice.

Error

Indicates that a user has actioned the delivery of the invoice but one of the following issues occurred:

  • the billing company linked to the invoice is not registered for eInvoicing

  • a system error prevented FastTrack360 from sending the invoice

  • FastTrack360 sent the invoice but a downstream issue prevented the invoice from being delivered.

The eInvoicing status of an invoice and any error messages that may result from a delivery error can be checked at any time by viewing the Invoice Log (for more information, see Invoice Log Enhancements).
