The table below lists and describes the system-defined components that are available for invoices and credit notes.

The table shows the default name of each system-define component. These names can be modified to suit your requirements. For each component that is listed, the table indicates the database fields or objects that are included within each component by default to display variable information or other objects on a document. The table also identifies which additional database fields can be included within each component.

Logo

Displays a logo/image on the invoice/credit note.

Allows you to browse for and select an image file that is to be displayed as a logo on the document. Acceptable file types are PNG, .JPEG, .BMP, .GIF and a size limit of 1Mb applies.

Alternatively, select the Use Billing Company Logo field to automatically use the logo of the applicable billing company on the invoice/credit notes. Note that if this option is used, when the billing company logo is changed the new logo will be printed on all invoices/credit notes, including historic invoices/credit notes.

Groups debtor details on the invoice/credit note

DebtorContact

Displays the name of the person to whom the invoice/credit note is addressed.

For timesheet-based invoices/credit notes, this is either of the following:

  • The person who is identified as the order by contact on the job order to which the invoice/credit note corresponds - this applies if the data grouping of the invoice/credit note is any of the following:

    • Job

    • Job and Project Code

    • Order By Contact

    • Order By Contact and Purchase Order Number

  • The person who is identified as the bill to contact on the applicable set of invoice delivery details - this applies if the data grouping of the invoice/credit note is any of the following:

    • Cost Centre

    • Debtor

    • Job Family

    • PO Number

    • Project Code.

For manual invoices/credit notes this is taken from the bill to contact on the applicable set of invoice delivery details.

Groups totals for the invoice/credit note.

Fields that are included in the Invoice/Credit Item component and are flagged to be included in the totals are automatically included in the Invoice/Credit Note Totals component.

One or more <Invoice Fee> fields are also automatically included in the Invoice/Credit Note Totals component if invoice fees have been configured against the debtor invoice details, where <Invoice Fee> is the name of the applicable invoice fee.
