Description
In the 11.38 release we introduced the ability for Timesheet Approvers to be able to view a submitted timesheet's details and approve or reject directly from the email notification.
To support this feature, New Merge Tags were created to display timesheet components, plus approve and reject actions (rendered actions displayed below from use of the Merge Tag 'Timesheet Submitted Actions').
Following the release, we received the following feedback regarding this new process:
Some Timesheet Approver's email applications do not support rendering pictures within emails. As such the 'Timesheet Submitted Actions' Merge Tag does not display properly, and the user is unable to discern between the actions.
Some Agencies would like to limit the actions the Timesheet Approver has access to via an email notification, and the current 'Timesheet Submitted Actions' displays Approve, Reject and Login.
To solve these issues, in the 11.39 release we have created additional merge tags, one for each separate action, that will so render as text:
Timesheet Merge Tags | Details |
Approve Text Action | Renders in the email as hotlink text Approve, and where clicked approves the timesheet |
Login Text Action | Renders in the email as hotlink text Login, and where clicked takes the user to the login page |
Reject Text Action | Renders in the email as hotlink text Reject, and where clicked rejects the timesheet |
Benefits
This enhancement provides agencies with the ability to limit the actions Timesheet Approvers can access via the in-email Approval / Rejection notification. This strategy also provides Timesheet Approvers with the ability to Approve, Reject or Login, where they have email restrictions on picture objects.
Configuration
Timesheet email templates are created and managed via Maintenance > Time & Attendance > Templates, click on the 'timesheet', then 'Email' item in the left hand panel. For instructions on how to copy and utlise the FT Template Approve-Reject Submitted TS via Email body, click here. If you wish to substitute the new merge tags, remove the 'Timesheet Approval Actions' merge tag (shown below in the template), and substitute with the new individual text action(s) merge tag actions required. Hint: When you click in the cell, pop up actions display where you can split the cell if you want to place an action merge tag neatly in each cell.
