You can find existing notification templates via the left hand panel menu Maintenance > Global Section > Pay/Bill Email Template. Once you find an existing template, you can do the following:

  • open the record for viewing or editing

  • delete the record if it has not required.

Find a Pay / Bill Email Template

Go to Portal > Pay > Maintenance > Email Template > Email Template Maintenance or Portal > Pay > Maintenance > Notification Template > Notification Template Maintenance (v11.37 onwards).
The Email Template/Notification Template Maintenance screen opens.

If you want to find an existing template by name, key in the name of the template in the Name field.
Note that you can use leading and trailing wildcards (%) for partial matching on the template name. For example, %n will match template names ending with the letter n while n% will match template names beginning with the letter n.

In the Type field, select the type of template you want to find. For example, if you select Payslip, the search will return only those templates that apply to payslips.
Alternatively, leave the default option of Any selected to search for templates regardless of their type.

If you want to find templates regardless of whether they are currently active and available for use, click Active until the field is shaded. 
If you want to find only those templates that are not currently active and therefore not available for use, click Active until the field is cleared completely (no tick and no shading). If you want to find only those templates that are currently active and available for use, leave the Active field ticked.

Click Search Templates   .The templates that match your search criteria are listed on the screen.

 
You can open any template that is listed on the screen after you perform a search by double-clicking on the relevant template in the search results list.

 You can edit an existing notification template at any time. You can change any attributes of an existing template if required.

To edit an existing template, follow the procedure below.

How to Edit an Exiting Notification Template

If the relevant record is not already open in the Email/Notification Template Entry screen, search for and open the relevant record.

On the Email/Notification Template Entry screen, update any fields as required.

Click   .The record is saved and the Email/Notification Entry screen closes.

 

You can delete an existing notification template that is no longer required at any time.
To delete an existing template, follow the procedure below.

How to Delete an Existing Notification Template

Go the Portal > Pay > Maintenance > Email Template > Email Template Maintenance screen or the Portal > Pay > Maintenance > Notification Template > Notification Template Maintenance screen, search for the template record you want to delete.  
The existing notification template records that match your search criteria are listed on the Email/Notification Template Maintenance screen.

In the list of template records, click the record to be deleted.
The record is highlighted to indicate that it is selected.

Click   .A message opens, prompting you to confirm deleting the record.

To continue deleting the record, click   .The confirmation message closes and the selected record is deleted.
