To update rates in the export file, follow the procedure below.

1.

Open the export file for editing from the location to which the file was saved.

2.

In the first row of data in the file, use the columns of information to identify which rate the row corresponds to. For a description of what information is displayed in each column, see Export File Columns.

3.

Scroll across to the NewValidityStartDate column and key in the date on which the updated rate value will become effective. This must be keyed in the format dd/mm/yyyy.

4.

Update or add a value in any of the remaining columns that are prefixed with the word New as required. Please refer to the table below for more guidance as to which columns can be updated.

5.

Repeat steps 2-4 for each row in the file until you have updated each row as required. Note that the date that you specify in the NewV alidityStartDate column must be the same for each row that corresponds to the same rate set. For example, if the export file contains pay agreement rates, each row in the file that corresponds to the same pay rate rule must have the same validity start date.

6.

Save the changes you have made to the file.

To avoid exception errors when you upload the updated file to update rates in the system, only key or edit values in the columns identified in the table below except in instances where an exception applies. Please also note that the columns listed in the table below are dependent on the export type.

NewValdityStartDate

None. A valid date must be specified in this column for all rows in the file.

NewRate

This column must be blank for any rows in the file where there is no value populated in this column by default because that indicates that the row corresponds to an item that cannot specify a rate directly, such as a direct valuation pay item.

NewPayRate

This column must be blank for any rows in the file where there is no value populated in this column by default because that indicates that the row corresponds to a direct valuation item, which cannot specify a pay rate directly.

NewBillValue

This column must be blank for any rows in the file where there is no value populated in this column by default because that indicates that the row that corresponds to an item that uses a bill rate formula to formulate the bill rate.

NewRateDescription

This column must be blank for any rows in the file that correspond to Calculation Only pay rates.

NewRateMinimum

This column must be blank for any rows in the file that correspond to Calculation Only pay rates.

NewBillRateFormula

This column must be blank for any rows in the file that correspond to a bill type or a margin/markup type other than Bill Rate Formula.

Please also note the following when editing a Bulk Rate Import file:

  • The NewValidityStartDate column must be set to the same date for all rows in the file that belong to the same agreement rate rule or standard rates rate set.

  • Rates that have already been end-dated cannot be updated via Bulk Rate Import, even if the rates are yet to be used in timesheet interpretation.

  • You can delete rows from the file that correspond to rates that will no longer be applicable for the new rate validity period. However, extreme care must be taken to ensure that only the relevant row or rows are deleted.

  • Any rate values that you add in the exported file that have more than six decimal places will be rounded up or down to the nearest six decimal places when the value is imported into the system. For example, 35.1234567 will be rounded to 35.123457.
