Description


A new checkbox field labelled Is For Payout, Transfer, Reset or Termination Only has been added in this release, to leave sets that belong to a leave type. When the field is ticked on it indicates that the leave set can only define the following types of rules for the leave type:

  • payout deduction rules – these define the rules for manually paying out leave balances at the Leave Payment pay batch stage

  • termination deduction rules – these define the rules for manually paying out leave balances at the Termination pay batch stage

  • transfer rules – these determine if a leave accrual can be transferred into an entitlement to take leave

  • reset rules – these define if and how the balance of a leave accrual or entitlement is to be reset to zero when specific conditions apply.

The following conditions apply to a leave set that has the Is For Payout, Transfer, Reset or Termination Only field ticked:

  • it will be ignored when the system traverses the leave set hierarchy to find an applicable leave set for the purposes of applying an accrual rule or a deduction rule for leave taken
    it will be referenced by the system when the following occurs:

    • a manual leave payout is triggered at the Leave Payments or Termination pay batch stages

    • the leave service runs or when a pay batch is closed, which triggers the system to check if the conditions for transferring a leave accrual into an entitlement have been met

    • the leave service runs, leave is manually paid out at the Termination pay batch stage or when a pay batch is closed, which triggers the system to check if conditions for resetting a leave accrual or leave entitlement balance have been met.

When the trigger for a payout deduction rule, termination deduction rule, transfer rule or reset rule occurs, the system first traverses the leave set hierarchy to look for an applicable leave set that has the Is For Payout, Transfer, Reset or Termination Only field ticked. If no such applicable leave set can be found, the system will then traverse the leave set hierarchy to find any other applicable leave set that has a leave payout deduction rule, termination deduction rule, transfer rule or reset rule.

Benefits

This enhancement compliments the introduction of the Parent Client, Client and Cost Centre leave set hierarchy levels. Because leave sets defined at those hierarchy levels cannot define deduction rules for payouts and terminations, transfer rules nor reset rules, this enhancement allows such rules to be defined on a separate leave set to those rules that trigger a leave accrual or automatic leave payment.

Configuration

The Is For Payout, Transfer, Reset or Termination Only field is available on the Leave > Maintenance > Leave Type > Edit Leave Type > Leave Set section, as highlighted in the example below.

Note that if the Is For Payout, Transfer, Reset or Termination Only field is ticked on a leave set, the following types of rules are unavailable on that leave set:

  • Accrual rules

  • Leave taken deduction rules.
