AU Payroll Payee’s can be automatically onboarded via an Onboarding Feature in FastTrack360. This feature captures important key contact, bank, tax, and superannuation details from Candidates, which automatically creates and populate all the relevant fields on the Payee Record.

Onboarding can be automatically triggered from set stages within the Referral Workflow or on filling a job, or triggered manually from a candidate or candidate search.

Benefits of Payee Onboarding include:

  • Saves time, money and effort with digital, seamless onboarding experience and automatic payee creation

  • Reduces the risk of manual error by reducing human intervention

  • Provides a positive candidate experience with your own branded payee onboarding process

  • Ensures you remain compliant by accurately capturing key details and providing a candidate a choice with their superannuation, particularly in preparation for Super Stapling being legislated from November 1, 2021

  • Reduces business risk by correctly handling sensitive bank, tax and super details securely and digitally

Onboarding is offered as standard to all new clients. If you are an existing client, notify your Account Manager should you wish to activate this feature. The next step is to click here to capture some key details to get the payee onboarding processes setup for you. Once the form has been completed, we will let you know and you can start capturing bank, tax and super digitally.

Here’s some key things you need to know:

  • Each payee will be setup with a default Employment Type and TFN type of Labour Hire. You can read more by clicking here to review the Onboarding Cheat Sheet.

  • There is an embargo where candidates will only be onboarded once every 6 months from the automatic triggers of the Referral Workflow and Job Fill events. This is to ensure that when filling a Candidate on a multiple jobs, they don’t get onboarded each time. You can override this if you need to by using the manual triggers (Custom Actions) via a Candidate Record or Search Candidate result list.

During the Onboarding process, should a Candidate select a superannuation fund that does not exist in FastTrack360, the fund will default to ‘Change Me’ super fund, to inform Payroll to correctly identify the fund and update the payee before they are paid. A report is included as part of the setup process that will help you to see which Candidates have submitted their onboarding information. This can be scheduled to send to nominated contacts
