In Time and Attendance timesheets are categorised based on their status or type. You can access the timesheets in each category by clicking on the relevant category in the toolbar in the the top left-hand corner of the Time and Attendance workspace, as shown in the example below.

Notice that for each category, the toolbar displays the timesheet count for the number of timesheets that:

  • are currently in each category (categories are described below);

  • that the user is a timesheet participant for;

  • that meet the default search criteria, ie the Default Week Ending To, Weeks In Advance set in Maintenance > Time & attendance > General.

Available

Available timesheets are timesheets that have been created for job orders that have been submitted to timesheet and are available to be keyed but are yet to be edited or submitted for approval.

Depending on the job order to which timesheets correspond, available timesheets may be prefilled by the system based on the job schedule of the job order. In such cases, an available timesheet can be submitted for approval without the need to key in/edit the timesheet unless the time and attendance on a given day differed from the job schedule (for example, a payee was absent on medical leave on a day on which the payee was scheduled to work).

If you are a timesheet initiator (i.e. you key in and submit timesheets) on behalf of payees you can click Available in the toolbar to display the Available Timesheets screen, which allows you to search for the available timesheets belonging to payees on whose behalf you key in and submit timesheets as well as available timesheets that belong to payees who key in and submit their own timesheets.

Incomplete

Incomplete timesheets are timesheets that have been edited and saved but are yet to be submitted for approval.

If you are a timesheet initiator on behalf of payees, timesheets you key in/edit and save without submitting for approval will automatically be saved with a status of Incomplete. Similarly, timesheets that have been initiated by payees and have been saved prior to being submitted for approval are saved with a status of Incomplete. You can click Incomplete in the toolbar to display the Incomplete Timesheets screen, which allows you to search for incomplete timesheets which you have edited and saved or that have been edited and saved by payees.

Rejected

Rejected timesheets are timesheets that have been submitted for approval by an approver but have been rejected due to errors, discrepancies or incompleteness. You can click Rejected in the toolbar to display the Rejected Timesheets screen, which allows you to search for payees' rejected timesheets.

Submitted

Submitted timesheets are timesheets that have been submitted for approval and are awaiting actioning by a timesheet approver. You can click Submitted in the toolbar to display the Submitted Timesheets screen, which allows you to search for timesheets that have been submitted for approval.

A timesheet may be subject to multiple approval stages and will remain in the Submitted status until it has passed all approval stages. Therefore, if you act as an approver of a timesheet, the timesheet may remain in the list of submitted timesheets after you have approved it because the timesheet may yet to be approved by the next level approver.

Bulk

Bulk timesheets are timesheets that are subject to a bulk timesheet workflow. Under a bulk timesheet workflow there is no separate timesheet approval process. Instead, the timesheet initiator is also the timesheet approver and can submit and approve timesheets on payees' behalf in bulk in a single workflow stage.

If you are a timesheet approver, you can click Bulk in the toolbar to display the Bulk Timesheets screen and therefore access and edit bulk timesheets. For more information, see Working with Bulk Timesheets.
