Where an Agency requires a process for Candidates to register independently of Job Advertisements, within the Maintenance Quthe Questionnaire Maintenance Module, in version 11.20 onward, an item is available for 'Form Maintenance'.

To configure Registration Pages, a two step process is required:

  • Create the Form(s) required for the Candidate to complete

  • via Maintenance > Questionnaire Section > Forms.

  • Configure the Registration Page

  • via Recruitment Manager > Maintenance

  • , and select the forms required.

  • Within the Registration Page, item the following information / settings are applied:

    • Duplicate / Redirect message – the message that is displayed to the Candidate where a duplicate record is found.

    • Registration Email Template – attach the email template that will be sent to the Candidate on successful registration. Note: A Merge Tag is available for 'Username' so this detail can be sent with the Registration Email.

    • Username Format – what format is required for the new Candidate's 'Username' so a Portal User account can be established. For example if the Candidate ID, Email is to be applied as the 'Username'. Note: The password is created by the Candidate themselves as part of the registration process.

    • Style Sheet – the default Style Sheet can be amended where you require theming in line with brand requirements. Resume Parsing – where flagged, if there is a Mapped Question in the Form for 'Resume', the system will parse (extract) details from the attached Candidate resume into corresponding mapped questions within the form to save the Candidate time.

    • Default Settings – select the default settings to apply to the new Candidate's record, including the Security Role, which will dictate what the Candidate has access to in the Portal.

    • Registration Form(s) – select the Form(s) created in the Questionnaire Module that will apply to the Registration Page.

Where a Candidate submits a Registration Page, the following can occur:

  • Duplicate candidate records may be found, where this occurs the duplicate message configured in the Registration Page is displayed to the Candidate.

  • Where the application is successful, the candidate's details are imported into the FastTrack database, a candidate details record is created in Recruitment Manager.

  • On successful registration, the Registration Email configured in the Registration Page is dispatched to the Candidate.

Users with relevant security permissions to do the following:

  • create and maintain forms in Form Maintenance within the Questionnaire Module

  • create and maintain Registration Pages within the Recruitment Manager Maintenance Module

  • view Form Responses within the Candidate record.
