Right of Erasure

FastTrack360 supports employment agency’s obligations under GDPR, where lawfully required to do so, to remove all traces of identifiable information for a selected individual.

Any individual request to erase data where it has been processed in FastTrack360 for the purpose of payroll and billing would not be entitled to execute this right as the employment agency must keep such records for the purpose of tax reporting (authorities like HMRC, ATO, IRD they will be bound to the period defined by the governing agency i.e. ATO – 7 years, to which such pay data must be kept for record keeping), auditing, and work safety.

Once the data has passed its useful life and the employment agency agrees to the right of erasure, they may anonymise such data to remove the personal identifiable/sensitive information. The system provides the function of anonymisation rather than erasure due to the integrated nature where objects like, job orders, timesheets, leave,  pay transaction, invoices, and invoice transactions are all interrelated and removal of key data may break such relationships where sub data is to be maintained.

How will this work? A user may with appropriate permissions run the anonymisation process for a selected candidate. They will be able to choose the object types, see below, to anonymise where the sub elements will be scrambled and no longer recognisable to the original individual.

  • Profile Data:

    • Name and surname

    • Home address

    • Mobile/phone details

    • Custom fields

    • Email address

    • Portal username

    • Date of birth

    • Gender

    • Emergency contact

    • Nationality

    • Passport number / social security number/ license details

    • Medical data (height/weight)

  •  Attachment Data: - Removal of data as files cannot be scrambled.

    • Resume/files (name list only) – end-to-end only

    • Candidate comments – end-to-end only

  • Usage data: removal of data as location and audit data cannot be scrambled.

    • Location data / IP address (GoogleMaps)

    • Audit

  • Payroll Data:

    • Tax identification TFN, NI, IRD

    • Bank details

    • Pension/superannuation/Kiwi Saver

    • Payslip data

    • Leave request history - Removal of data as files cannot be scrambled.

 The process will keep an audit of the datetime and agency user of how ran the process.

Please note the anonymisation feature is currently in development with an estimate delivery of March/April 2024.
