How to Process Incoming Forms
Follow the steps to process incoming forms from the HMRC.
How to Retrieve Incoming Forms from the HMRC and Apply to Matched Payees | |
| Go to Payroll > HMRC Message Portal. If the menu item is not available, security permissions would need to be applied. |
2. | Select the PAYE reference for the employer. There are 2 tabs: Inbox and Outbox. Inbox is for incoming forms from the HMRC and Outbox is where forms are sent to the HMRC. The Inbox is the first tab. When selecting the PAYE Reference this will initially show any forms that have been received so far but have not been actioned by the employer. |
3. | To check for any new updates, click Receive. This will connect to the HMRC using the credentials that have been set up in the Pay Company. |
4. | When retrieving the forms, the process will attempt to match the incoming forms to existing payees in the pay company that has the associated PAYE Reference. If there is a match, the Payee No. will be displayed in the results grid. Only matched payees can have an update applied. |
5. | Select the payees that have been matched and click Update. This will generate a new validity period (where applicable) in the payee’s HMRC details section with the updated tax code or student/postgraduate loan based on the effective date of the form. The validity period generated would be the pay period start date of the tax period the effective date fell. If the effective date is prior to the current tax period, the current pay period start date would be selected. Once the update was applied, the status of the form would be changed to Processed and would be moved out of the current view as the current view looks at the status of New. Users can view all Processed forms by changing the status in the search criteria. |
How to Manually Match an HMRC Form to a Payee | ||
| If at point 4 above a payee has not been automatically matched, click the Payee button against the row. | Â |
2. | Enter the search criteria to find the payee in FastTrack360 and click Search. | Â |
3. | The search could return multiple rows. Select the row that is the required payee and click Match. This will close the grid and will allocate the payee to the form. | Â |
4. | Continue with step 5 in the process above. | Â |
