Updating Superannuation Details

To save a payee record initially, at least one payee superannuation fund must be defined on the payee record. At the time of creating the payee record the payee may not yet have a policy/membership number for the relevant fund and therefore this may need to be specified at a later time.
Additionally, if the payee is placed in a job that is subject to a pay agreement that mandates a specific superannuation fund, the payee's policy/membership number for the agreement fund once the number is known.
If a payee's superannuation fund has changed, you can also remove their existing fund and add a new fund if necessary. However, you cannot do this while a payee is in an open pay batch. Also, once the payee has been paid (included in a closed pay batch) their super funds are locked down for the corresponding payee details validity period and cannot be modified for that period. If you need to modify a payee's super funds after the payee has been paid in one or more pay batches, you must create a new payee details validity period.

If you need to add a new validity period to add a policy/membership number for a superannuation fund that has already been added to the Payee record it is important that you also backfill the policy/membership number on all prior validity periods on the Payee record where the same fund also existed with a blank policy/membership number. Otherwise, the system will be unable to determine if the superannuation fund that is defined for the prior validity period(s) corresponds to the same fund and superannuation policy as that on the new validity period. That could result in doubling up of superannuation amounts as reported on payslips and in the Pay Enquiry screen. However, the correct amount of superannuation will be accrued.

The same condition applies if the policy/membership number was incorrect for a prior validity period on the Payee record and you are correcting the policy/membership number for the new validity period. That is, you must also correct the policy/membership number for any prior validity periods so that the system can correctly reconcile the details across validity periods.

If you do not already have the relevant payee record open in the Payee Entry screen, search for and open the relevant payee record in edit mode.

Navigate to the Payee Details > Superannuation Details section of the Payee Entry screen.

In the Policy/Member Number column against the relevant payee or agreement fund, key in the payee's policy/member number for the corresponding superannuation fund.

At the top of the Payee Entry screen, click Save.

The changes you have made are saved.
