How to Update an Existing Debtor

Once a debtor record is created you can update the debtor’s details if necessary. However, note that once a debtor has been created, the customer type, customer name and country of the debtor cannot be edited.

How to Update an Existing Debtor

Navigate to Billing > Debtor.
The Debtor Maintenance screen opens.

In the Search section at the top of the Debtor Maintenance screen, select or key in details about the debtor that you want to update. For example, if you know the unique debtor number of the debtor record, key in the relevant number in the Debtor No. field.

Debtor No.
Unique, system-generated code that identifies a specific debtor. To search for a debtor by the debtor code, type the relevant debtor code in this field.

 

Debtor Name
Name of the debtor as specified by the debtor record. To search for a debtor by name, type the relevant name in this field.

 

Billing Department
Name of the billing department within the debtor's organisation to which invoices are addressed. To search for debtors by billing department name, type the billing department name in this field.

 

Customer Type

Type of customer entity (parent, client or cost centre) to which the debtor corresponds.

 

Customer Id

The system-generated, nine digit ID number that uniquely identifies the parent, client or cost centre entity to which the debtor corresponds.

 

Customer Name

The name of the parent, client or cost centre entity to which the debtor corresponds, if the name differs from that of the debtor.

 

Country
Country to which debtor belongs. This defaults to the country to which the username with which you are logged in is assigned. You can choose another specific country in order to search for debtors belonging to a specific country only. Alternatively, select Any to search for debtors regardless of the country to which they belong.

 

Remittance Office

Office code and name of the agency office that acts as the contact point for the debtor’s remittance-related enquiries.

 

Corporate Identity No.
Organisation number of the debtor company, as specified on the debtor record, that is used for taxation purposes. To search for a debtor by the corporate identity number, type the relevant number in this field.

 

Migration Id

If the debtor record you want to find has been imported into FastTrack360 via a data migration from a third-party system, this field can be used to find the debtor record by the unique migration ID number that was assigned to the record at the time of migration from the third-party system.

 

Export Code
Export code used to match the debtor record to a company record in a third-party payroll or HR system. To search for a debtor by the export code, type the relevant code in this field.

 

Active
When set to Yes, indicates that the system will search for only those debtor records that are flagged as active and can therefore available to be used.

When set to No, indicates that the system will search for only those debtors that are inactive and therefore are not available to be used.

When set to Any, indicates that the system will search for debtors irrespective of whether they are active or inactive.

Click Search.

The existing debtor records that match your search criteria are listed in the Results section of the screen.

In the Results section of the screen, locate the debtor record that you want to edit and click the View button at the start of the row where the relevant debtor record is listed.

The Debtor Entry screen opens.

Update the debtor details as required and when you have finished making your changes, save the changes by clicking Save.

The changes you have made are saved and the Debtor Entry screen closes.
