Sending Invoices & Credit Notes Via Ad-hoc Email

Closed invoices and credit notes can be distributed to internal agency staff by ad-hoc email from the Billing > Manage Delivery screen. Delivery via this method does not set the Delivered flag on invoices/credit notes.

To send invoices/credit notes via ad-hoc email, you must specify the email addresses of the relevant recipients. These can be any relevant email addresses of your choosing. You must also type a subject line that is to appear in the email subject line and the text that is to appear within the body of the message.

It is possible to add attachments to an ad-hoc email. This can be any relevant electronic file to which you have access from your computer. This may be, for example, a PDF copy of an invoice/credit notice.

It is possible to email multiple invoices/credit notes simultaneously using the ad-hoc email method.

To distribute invoices/credit notes via ad-hoc email, follow the procedure below.

Using the Billing > Manage Delivery screen search for the relevant closed invoices/credit notes.

The invoices/credit notes that match your search criteria are listed in the results list.

In the results list, tick the invoices/credit notes that you want to email and click Email Ad-Hoc.

An Email Invoice Ad-Hoc screen opens.

In the To field, type the email address(es) of the internal agency user(s) to whom the ad-hoc email is to be sent.

Note that if you specify multiple email addresses, each address must be separated by a semi-colon (;).

In the Subject field, type the subject line/topic of the email.

In the Message field, type the body text of the email message.

If you want to add an attachment to the email message, click Add Files and use the dialog box that opens to navigate to and select the relevant file to be attached.

The selected files are listed within the Attachments field.

7.

Click Send.

The message is sent to the email address(es) you specified along with the invoices/credit notes you selected and a confirmation message opens.
